About The Position

We are seeking a highly organized and proactive Project / Operations Coordinator to keep creative projects moving efficiently across brand and experience teams. This role combines project coordination, operations management, and problem-solving, ensuring that projects are delivered on time, on budget, and to a high standard of quality. The ideal candidate thrives in fast-paced, collaborative environments and enjoys bringing structure to complex or evolving projects. You will manage day-to-day project details, translate briefs into actionable workflows, proactively identify risks, and build systems that improve efficiency over time. Requirements

  • 3–5 years of relevant experience in: Project Management, Project Coordination, Production / Operations.
  • Experience working in a: Creative agency, Design studio, In-house creative team.
  • Proven experience managing and coordinating creative or design-driven projects.
  • Experience preparing project plans, timelines, and specifications.
  • Experience drafting or contributing to Scopes of Work (SOWs).
  • Familiarity with iterative creative processes across: Branding, Design, Content creation, Experience / digital projects.
  • Strong project planning and timeline management skills.
  • Budget awareness and scope management.
  • Task management and workflow creation.
  • Quality assurance / deliverable review processes.
  • Client communication and project briefing translation.
  • Presentation and documentation creation.
  • Process improvement and operational systems building.
  • Proficiency with project management and collaboration tools such as: ClickUp, Slack, Figma, Adobe Creative Suite.
  • Highly organized with exceptional attention to detail.
  • Operates with a high degree of independence and requires minimal supervision.
  • Strong prioritization skills with a focus on maintaining momentum.
  • Able to keep work progressing even when awaiting feedback.
  • Naturally proactive and able to anticipate issues before they arise.
  • Excellent communication and stakeholder management skills.
  • Strong problem-solving mindset and solution-oriented approach.

Responsibilities

  • Understand project scopes and budgets and develop an execution approach that aligns with project goals.
  • Build and manage project timelines and workflows tailored to different project types, including: Brand identity projects, Marketing campaigns, Experience builds, Ongoing retainers.
  • Write, assign, and manage tasks for both internal and client-facing projects.
  • Track project momentum and ensure projects remain on time and on budget.
  • Define deliverables and project scope during kickoff meetings.
  • Proactively identify and communicate scope creep early and clearly.
  • Prepare deliverables and files for client review, including quality assurance checkpoints before submission.
  • Build and maintain repeatable systems for common project types, including: Templates, Checklists, Handoff protocols, Feedback workflows.
  • Surface tasks, issues, and blockers to leadership before they become delays.
  • Identify inefficiencies or bottlenecks and propose solutions to improve workflows.
  • Own the project management platform as the single source of truth for: Project status, Task tracking, Timelines.
  • Continuously refine project processes to improve efficiency and execution quality.
  • Receive and review client-submitted project requests.
  • Translate client briefs into clear, actionable tasks for internal teams.
  • Coordinate project kickoffs with clients to align on: Scope, Timeline, Deliverables, Feedback process.
  • Organize and communicate client feedback in a structured and actionable way.
  • Build presentations and supporting documents for client reviews.
  • Send deliverables for review with concise, professional communication.
  • Support team leads and leadership by keeping track of project details and moving pieces.
  • Improve follow-through and coordination across designers, strategists, and clients.
  • Run regular project status check-ins.
  • Ensure the right stakeholders have the right information at the right time.
  • Act as a problem-solver/fixer —research issues and create actionable plans to resolve them quickly.
