About The Position

The Project Coordinator V position is part of Medtronic’s Electrophysiology Operating Unit and provides executive administrative support for the VP Product Development and VP Integration Transformation. This role is responsible for ensuring efficient coordination of calendars, meetings, communications, travel, and operational priorities. The position serves as a trusted partner to senior leadership, supporting confidential business activities, facilitating follow-through on key action items, and helping maintain strong execution across the team. The Project Coordinator V will work closely with internal stakeholders to coordinate leadership meetings, manage documentation and reporting needs, coordinate special events, support local facility needs, and partner with staff members on special projects as needed. Requirements

  • 10+ years of relevant administrative or executive support experience supporting senior leaders

Nice To Haves

  • Experience managing complex calendars, meetings, travel, expenses, and confidential information
  • Experience supporting senior-level leadership teams, business reviews, team events, or executive offsites
  • Strong action tracking, follow-up, and meeting coordination skills
  • Strong working knowledge of Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive
  • Experience creating trackers, status summaries, or dashboards in Excel or Microsoft 365 tools
  • Familiarity with Concur, vendor coordination, or administrative systems
  • Postsecondary education in business administration, office administration, communications, or a related field
  • For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required.

Responsibilities

  • Manage complex calendars, meeting coordination, and scheduling priorities senior leadership
  • Coordinate leadership meetings, business reviews, team meetings, and cross-functional discussions, including agendas, materials, notes, room logistics, visitor needs, and follow-up
  • Track action items, decisions, deadlines, and priorities to support leadership accountability and execution
  • Draft, edit, and route correspondence, meeting communications, and internal updates as needed
  • Prepare executive-ready materials, reports, trackers, and presentations
  • Coordinate domestic and international travel, expenses, and related logistics
  • Support confidential and sensitive business matters with discretion and sound judgment
  • Maintain organized digital filing systems, trackers, contact lists, and shared team resources
  • Partner with internal teams and administrative colleagues to support consistent execution and communication flow
  • Assist with special projects, team events, local facility needs, and other leadership support as assigned
