About The Position

We are seeking an organized and detail-oriented Project Coordinator to support our Construction Management & Inspection department in Houston, Texas. This position will provide administrative and operational support to the team. The ideal candidate will be able to manage multiple priorities, maintain accurate project records, and communicate effectively with field and office teams.

Requirements

  • High school diploma or equivalent required
  • Previous experience in project coordination, project administration, construction, inspection services, or a related field preferred.
  • Experience reviewing timesheets, processing payroll-related documentation, or entering time into a timekeeping system is preferred.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational, communication, and follow-up skills.
  • Ability to manage multiple projects, priorities, and deadlines.
  • Proficiency in Microsoft Office, including Outlook, Excel, Word, and Teams.
  • Ability to handle confidential employee, payroll, and project information professionally.
  • Ability to work independently while collaborating effectively with field and office personnel.

Nice To Haves

  • Experience supporting construction management or inspection projects.
  • Familiarity with project accounting, purchase orders, invoicing, and cost tracking.
  • Experience working with inspectors, contractors, or field-based employees.
  • Knowledge of electronic document-management and timekeeping systems.

Responsibilities

  • Receive weekly timesheets from inspectors and other project personnel.
  • Review timesheets for completeness, accuracy, appropriate project and task codes, required approvals, and supporting documentation.
  • Follow up with employees and supervisors regarding missing, incomplete, or inaccurate timesheets.
  • Enter approved time and related information into the company’s timekeeping system accurately and within established payroll deadlines.
  • Maintain organized records of submitted, approved, corrected, and outstanding timesheets.
  • Assist team with daily administrative and project coordination activities.
  • Support project setup, staffing coordination, onboarding, and offboarding activities.
  • Prepare and maintain project files, reports, correspondence, spreadsheets, and tracking logs.
  • Track project schedules, deliverables, action items, and outstanding documentation.
  • Assist with purchase orders, work orders, invoicing documentation, expense reports, and project cost tracking.
  • Communicate with inspectors, clients, project managers, Payroll, Accounting, Human Resources, and other internal departments.
  • Help ensure project documentation complies with company procedures and client requirements.
  • Assist with preparing project status reports and management updates.
  • Perform general Project Management Assistant duties as assigned.
  • Provide additional administrative support to the Construction Management & Inspection department as needed.
