About The Position

Under the direction of the Academic Administrative Manager and in collaboration with the Associate Chair for Quality and Patient Safety at Hasbro Children’s, the Project Coordinator provides high-level administrative and project coordination support for pediatric quality and safety initiatives. This role requires strong critical thinking, discretion, and judgment in managing departmental procedures, committee operations, and confidential information. The coordinator plays a key role in supporting performance improvement efforts, committee logistics, and project execution across Hasbro Children’s. This position interacts with senior leadership, clinical teams, and multidisciplinary stakeholders to support the planning, tracking, and implementation of pediatric quality and patient safety projects. The coordinator helps ensure alignment with organizational goals and standards while promoting best practices in pediatric care. Requirements

  • High school diploma or equivalent required.
  • Minimum of 1 year of progressively responsible project coordination experience in a healthcare setting with a bachelor’s degree, or 3 years with a high school diploma or equivalent.
  • Strong time-management, multitasking, and analytical skills with attention to detail.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to work effectively in a fast-paced, dynamic environment.

Nice To Haves

  • Bachelor’s degree in healthcare administration, public health, or related field preferred.
  • Experience in pediatric healthcare or quality improvement preferred.

Responsibilities

  • Coordinates pediatric quality and patient safety projects, including planning, scheduling, tracking deliverables, and facilitating team communication.
  • Supports high-level pediatric quality and safety committees (e.g., HQSC) by preparing agendas, taking minutes, maintaining action plans, and following up on deliverables.
  • Maintains departmental records, committee documentation, and confidential materials with discretion.
  • Develops and maintains tracking tools, dashboards, and reports to monitor progress on pediatric performance improvement initiatives.
  • Facilitates project planning and implementation meetings, ensuring timely follow-up and documentation.
  • Maintains the Associate Chair’s calendars and schedules interdepartmental meetings related to pediatric quality and safety initiatives.
  • Communicates with stakeholders to define project scope, objectives, and timelines; ensures alignment with Hasbro Children’s goals.
  • Covers administrative support for PICU intensivists during vacancies or absences or other assigned area(s).
  • Assumes responsibility for recurring pediatric programs and special projects, exercising independent judgment and initiative.
  • Coordinates logistics for pediatric quality and safety events, including venue research, transportation, accommodations, vendor agreements, registration, and program development.
  • Leads planning for events such as but not limited to: Patient Safety Week SPS New England Regional Conference SPS Hospital of the Month recognition HAC team celebrations
  • Designs and manages poster presentations for internal and external events, including SPS conferences.
  • Utilizes systems and tools such as: Microsoft Project, Excel, PowerPoint (PPT), Word, Teams, Visio Power BI (PBI) RedCAP
  • Applies knowledge of medical and technical terminology in documentation and communication.
