About The Position

Coordinate the daily flow of project and team communication, both internally and externally. Schedule meetings and support project teams with agendas, minutes, calendars, and meeting logistics. Prepare and maintain contracts, specifications, project manuals, and other project documentation using firm-standard tools and processes. Track and process proposals, submittals, certificates of insurance, and Requests for Information (RFIs) in coordination with project teams. Maintain accurate project data, files, budgets, schedules, and contact records in Deltek and other project systems. Review administrative and technical documents for formatting, grammar, spelling, punctuation, and overall quality before distribution. Support reception, hospitality, office coordination, and other administrative functions that contribute to an exceptional team and client experience.

Requirements

  • High school diploma required
  • Minimum of 3 years of administrative, project coordination, or project support experience
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines with accuracy.
  • Excellent written and verbal communication skills, including the ability to review correspondence and technical documents for formatting, grammar, spelling, and punctuation.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook
  • Experience with Microsoft Teams, SharePoint
  • Professional, client-service mindset with the ability to adapt in a fast-paced, collaborative environment while maintaining confidentiality and supporting multiple team members and projects.
