About The Position

As a Project Coordinator II - HVAC, you'll play a more independent role in supporting the successful execution of commercial HVAC and mechanical projects. You will assist Project Managers with coordination, documentation, submittals, scheduling, and communication between the office and field teams. With growing experience, you'll take on increased responsibility for accuracy, follow-up, and process efficiency while continuing to develop your skills in a collaborative, people-first environment.

Requirements

  • 2–4 years of relevant experience in construction project coordination, administrative support, or a related field.
  • High school diploma or GED required.
  • Primarily office-based with occasional job-site visits; ability to walk active construction sites and lift light materials as needed.
  • Professional office with hybrid options and occasional active construction sites; must adhere to OSHA regulations and wear required PPE when on-site—safety is our top priority and non-negotiable. This is a safety-sensitive position.
  • Strong organizational, multitasking, and follow-up skills with growing independence.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and project management software (Procore preferred).
  • Ability to read and understand construction documents, plans, and specifications.
  • Attention to detail, self-motivation, punctuality, and professional demeanor.
  • Ability to collaborate effectively as part of a team while taking on increased responsibility.

Nice To Haves

  • Associate or Bachelor’s degree in Construction Management, Business, or a related field preferred.

Responsibilities

  • Independently manage submittal registers, coordinate submittals and resubmittals from suppliers and subcontractors, and track responses.
  • Maintain accurate project documentation, including plans, specifications, as-builts, O&M manuals, warranties, and owner training materials.
  • Support job site badging and access coordination, including maintaining logs.
  • Assist with monthly forecast updates, short- and long-term manpower tracking, and project budget entry into accounting systems.
  • Ensure project billings align with contractual requirements and help track compliance with company policies.
  • Coordinate Davis-Bacon paperwork and requirements with Payroll, subcontractors, and general contractors as needed.
  • Update project records to ensure clear and timely communication between office and field teams.
  • Provide professional support to internal teams, subcontractors, general contractors, and clients.
  • Perform other duties as assigned to support successful project completion and continuous improvement.
