About The Position

As a Project Coordinator I, you’ll support the Project Management team by keeping project setup, documentation, job cost/admin workflows, and subcontractor compliance moving smoothly. You’ll work with industry-specific construction software and Excel to help manage contracts, commitments, change orders, job cost reporting, invoices, and closeout details. You’ll also help with bid outreach, permits, plan distribution, and project logs (RFI/submittals)—basically, you’re the person who helps keep the project information accurate, organized, and moving forward. This position is cross-trained with related project support roles and includes minimal reception/office support as needed.

Requirements

  • 1–3 years of experience in an administrative, billing, bookkeeping, or project support role (construction experience is a plus, not required).
  • Comfortable using Microsoft Office, especially Excel.
  • Strong attention to detail, reliability, and ability to handle sensitive information appropriately.
  • Ability to organize, proofread, and reconcile documents with accuracy.
  • Willingness and ability to learn industry-specific software and processes.
  • Strong communication skills and ability to work independently after training.
  • Valid driver’s license and ability to meet MVR standards.

Nice To Haves

  • Experience as a Project Coordinator, Project Admin, or in construction accounting.
  • Familiarity with construction software (e.g., job cost, commitments, change orders, pay apps).
  • Experience with auditing job cost items, retainage, lien waivers, COIs, or subcontractor compliance.

Responsibilities

  • Set up new projects in company systems (issue project numbers; enter/import estimates for job cost tracking)
  • Prepare and send project contracts (AIA and project-specific) using industry software
  • Track returned documents and keep project files current and complete
  • Collect, verify, and maintain subcontractor/vendor requirements (COIs, lien waivers, pay apps, invoices)
  • Perform credit checks and confirm bonding when needed
  • Keep compliance documentation accurate, up-to-date, and easy to find
  • Enter and maintain commitments, change orders, and back charges
  • Support PMs with subcontractor payment tracking by reviewing pay apps, reports, and coding to correct job phases
  • Route bills and commitments for PM approval before submission to Accounts Payable
  • Help maintain accurate customer/project account data
  • Create routine job cost reporting (time/materials)
  • Assist with reconciling invoices, change orders, retainage, and committed costs at closeout
  • Coordinate day-to-day project admin needs (bid/quote support, permit paperwork, plan/spec distribution)
  • Track project logs like RFI/submittals and keep information flowing
  • Follow up with subcontractors and suppliers to keep paperwork, communication, and timelines on track
  • Provide light reception coverage (greet visitors, answer/direct calls, manage mail/packages).
  • Periodically order office supplies.
