About The Position

Fitzrovia is seeking to hire a Project Coordinator, Capital Projects, to join their team. This position is responsible for participating in the planning, execution, and closeout of capital projects across Fitzrovia’s portfolio. This role coordinates projects from early planning through construction and turnover, ensuring delivery is aligned with budget, schedule, quality standards, and operational requirements. The Project Coordinator works cross-functionally with Design, Construction, Facilities Management, Property Management, Leasing, and external consultants and contractors. Requirements

2-5 years of progressive experience coordinating capital projects within residential, commercial, or mixed-use environments.
Experience delivering commercial, corporate, or office buildouts, including tenant improvements and occupied-building work.
Strong technical understanding of construction processes, building systems, and project controls.
Ability to coordinate multiple projects simultaneously while balancing competing priorities.
Experience assisting in budget management, executing construction contracts, change order processing, and producing project schedules.
Strong communication, organization, and problem-solving skills.

Nice To Haves

Bachelor’s degree in Construction Management, Engineering, Architecture, Business Administration, or a related field is preferred; equivalent experience will be considered.

Responsibilities

Participate in the planning, execution, and closeout of capital projects across residential, commercial, and office assets, ensuring delivery aligns with approved scope, budget, schedule, quality standards, and contractual obligations (COs).
Assist in the development of project plans, schedules, procurement strategies, and contract scopes, and manage tendering, IFC documentation, RFIs, SIs, and CO processes.
Conduct site audits and progress reviews to verify scope, quality, compliance, and adherence to contract terms.
Participate in the delivery of capital projects including: Suite renovations and upgrades, Common area and amenity improvements, Building system upgrades, SOGR works and lifecycle replacements.
Support operational readiness and turnover planning post-completion.
Coordinate resident communication and operational planning with PM and FM teams while ensuring contractor compliance with contractual requirements.
Develop, manage, and report on project budgets, forecasts, and cost variances.
Assist in the review and administer contracts, Change Orders, pricing, and progress draws within Yardi/ other defined system, working closely with Finance and Accounting to ensure accuracy and cost control.
Assist the primary point of contact for internal stakeholders, consultants, and contractors.
Assist coordination meetings and manage consultant and contractor agreements, ensuring accountability, performance, and alignment with Fitzrovia standards.
Identify and mitigate project risks related to cost, schedule, quality, safety, operations, and contractual exposure.
Ensure compliance with applicable building codes, safety standards, regulatory requirements, and contract documentation.
Maintain strong oversight of contractor performance and workmanship quality.
Maintain complete and accurate project documentation, including contracts, amendments, Change Order logs, budgets, and closeout materials within Yardi / other defined system.
Prepare and distribute regular progress reports and support project closeout and turnover to Ops.
Participate in project closeout, deficiencies, and turnover to operations teams.
