About The Position

Supports healthcare and behavioral health projects by managing day to day operational tasks, documentation, scheduling, and communication. Ensures smooth execution of project activities, maintains accurate project records, and supports clinicians and operational teams with logistics, workflow documentation, and training prep.

Requirements

  • Associate’s degree, required.
  • Strong proficiency with Microsoft Office and collaboration tools.
  • Strong organization, attention to detail, and follow-through
  • Effective communication with clinicians and operational staff.
  • Collaborative with a customer-service mindset.
  • Ability to manage multiple tasks in a fast-paced healthcare environment.
  • Basic understanding of healthcare workflows and terminology.
  • 1 year of administrative, project coordination, or clinical support experience in healthcare or behavioral health, required.

Nice To Haves

  • Bachelor’s in Healthcare Administration, Social Work, Psychology, or related field, preferred.
  • Familiarity with EHR systems (Epic, Cerner, SmartCare, etc.), preferred.

Responsibilities

  • Schedules project meetings, prepares agendas, takes minutes, documents decisions, and tracks action items.
  • Maintains project trackers, documentation libraries, and plays a key role in ensuring accurate timelines, organization, and efficiency.
  • Assists with mapping clinical workflows.
  • Support pilots, go lives, and training sessions for new workflows, processes, or EHR enhancements.
  • Coordinates clinical readiness activities such as training sign ins, resource distribution, and communications.
  • Maintains updated project documents including SOPs, clinical workflows, training materials, and policy updates.
  • Prepares basic dashboards and summaries for PM review.
  • Ensures documentation meets regulatory and audit standards.
  • Drafts communications such as provider updates, patient-facing materials, FAQs, and workflow job aids.
  • Responds to routine inquiries and escalates issues appropriately.
  • Ensures adherence to HIPAA, privacy, and documentation standards.
  • Assists with gathering data for audits or quality initiatives.
