About The Position

The Project Coordinator – API & Excipient Bases supports the day-to-day execution of cross-functional projects related to active pharmaceutical ingredients (APIs) and base excipients in the compounding category. The role includes project planning, milestone tracking, meeting coordination, risk and issue management, follow-up on action items, and keeping deliverables on schedule. In addition to project coordination, this role provides operational and documentation support to Product Managers throughout the product lifecycle, including maintaining product information, project records, stakeholder communications, sales monitoring and tracking, and launch readiness activities. This position helps keep teams aligned, maintain project discipline, and support timely execution across R&D, quality, regulatory, supply chain, procurement, and commercial functions. The ideal candidate is organized, detail-oriented, proactive, and comfortable working in a fast-paced cross-functional environment. The position reports to Product Managers.

Requirements

  • Bachelor’s degree in Project Management, Business Administration, or a related field.
  • One (1) to two (2) years of project management experience within manufacturing, product management, or life sciences.
  • Strong proficiency in Microsoft Project, Smartsheet, or equivalent Gantt-based planning tools.
  • Excellent communication, organization, and stakeholder management skills.
  • Proven ability to work effectively with cross-functional teams and handle multiple complex projects simultaneously.
  • Analytical mindset with attention to detail and ability to identify interdependencies and risks early.

Responsibilities

  • Develop detailed Gantt charts for all active and upcoming new product addition projects.
  • Work closely with all task owners (R&D, Engineering, Procurement, Quality, Marketing, etc.) to confirm task durations, dependencies, and milestones.
  • Maintain and update Gantt charts weekly to reflect actual progress versus plan.
  • Track project status, identify slippages or bottlenecks, and issue updated reports to stakeholders.
  • Ensure the project schedule remains the single source of truth for all project timing and deliverables.
  • Coordinate day-to-day execution across cross-functional teams to keep project deliverables on track and aligned to committed timelines.
  • Monitor project risks, open issues, and interdependencies, and proactively escalate concerns that may impact execution, timing, or quality.
  • Drive issue resolution by coordinating owners, tracking action items to closure, and escalating persistent roadblocks to leadership when needed.
  • Support timely execution through clear status reporting, meeting follow-ups, and disciplined communication of priorities, decisions, and next steps.
  • Support new product introduction (NPI) activities by coordinating cross-functional deliverables, tracking documentation readiness, and monitoring key project dependencies to ensure successful execution.
  • Assist in gathering stakeholder feedback, documenting requirements, and tracking changes throughout project execution.
  • Review and analyze Gantt charts to identify resource or bandwidth conflicts—for example, when an individual is assigned multiple overlapping tasks across projects.
  • Raise potential resource allocation issues to management and recommend adjustments.
  • Collaborate with department leads to ensure adequate coverage and realistic timelines.
  • Prepare weekly progress reports summarizing project health, risks, and key decisions required.
  • Present schedule updates and critical-path adjustments to senior management as needed.
  • Maintain clear documentation of project activities, including decisions, assumptions, change records, project charters, launch documentation, and meeting records.
  • Gather, analyze, and present project, product, commercial, and operational data to support management reporting, business reviews, planning activities, and leadership presentations.
  • Compile, analyze, and summarize survey results, project feedback, and stakeholder input for management reports, presentations, and project reviews.
  • Monitor monthly sales performance across designated product categories by consolidating data, identifying significant variances or spikes, and flagging notable trends for management review.
  • Support monthly promotional activities by tracking performance and preparing sales reports to evaluate results and identify key trends.
  • Attend cross-functional meetings, capture key discussion points and decisions, and create clear action items to support timely follow-up and execution.
  • Maintain project governance standards, tracking tools, and documentation to support consistent execution across initiatives.
  • Lead recurring project meetings, prepare agendas, capture decisions, and ensure timely follow-up on commitments and next steps.
  • Support continuous improvement of project planning methods, templates, and workflows to improve execution efficiency and visibility.
  • Drive accountability by following up on milestones, deliverables, and action items, and by ensuring stakeholders are aware of timing, ownership, and outstanding decisions.
  • Support Product Managers in maintaining product development documentation, product specifications, and cross-functional deliverables throughout the product lifecycle.
  • Maintain project repositories, documentation systems, and records to ensure information is accurate, current, and accessible to stakeholders.
  • Support project closeout and post-launch activities by coordinating lessons learned, documenting improvement opportunities, tracking outcomes, and maintaining closure records.
  • Support campaign execution by coordinating activities, monitoring progress, and following up with stakeholders to ensure timely completion and alignment on objectives.
