About The Position

The Project Coordination Manager owns the project coordination function across all of Tempe Mechanical's operating divisions - HVAC, Plumbing, and Special Projects. This is a player-coach leadership role responsible for setting the standard for how every project is set up, bought out, billed, and closed out, and for assigning, leveling, and developing the Project Coordinator team. The role enforces the controls that protect margin and schedule, and makes coordination consistent, compliant, and auditable as the company grows.

Requirements

  • Progressive project coordination experience in commercial mechanical, plumbing, or general construction.
  • Working command of construction project controls - submittals, RFIs, buyout and POs, Schedule of Values, change orders, AIA billing support, and closeout.
  • Proficiency with construction project-management and financial software (BidTracer, Foundation, or comparable platforms).
  • Proven ability to lead people and hold a standard across multiple teams without micromanaging.
  • Strong organization, documentation discipline, and follow-through under deadline pressure.
  • Valid Arizona driver's license and clean driving record - required.

Nice To Haves

  • Prior supervisory or team-lead experience over coordinators or project administrative staff.
  • Experience in Arizona commercial construction and public / JOC work.
  • Familiarity with GC billing and compliance expectations - AIA billing, insurance/PO compliance, and closeout packages.
  • Exposure to workforce-forecasting or material-procurement platforms (e.g., Rivet, Field Materials).

Responsibilities

  • Lead, assign, and develop the Project Coordinator team; run the weekly coordination huddle, coordinator scorecard, and one-on-ones.
  • Onboard and ramp new coordinators to independent competency against a defined milestone plan; coach to the standard and manage performance directly.
  • Balance workload across the coordinator pool and plan coverage and backfill for demand spikes, PTO, and turnover.
  • Own that every coordinator executes company SOPs to a single standard for project setup, procurement, billing support, and closeout.
  • Run a recurring project-file and setup audit cycle; verify execution, log findings, and route gaps to the responsible Division Director.
  • Maintain document-control standards, including folder structure and file-naming discipline across all active jobs.
  • Guarantee the non-negotiable control gates hold on every job - no subcontractor mobilizes without a purchase order and valid compliance documents on file.
  • Ensure the Schedule of Values is maintained current and billing packages are prepared and PM-ready on schedule (PM retains billing approval).
  • Keep the change-order log current and approved COs entered promptly; ensure closeout packages are assembled and delivered within target.
  • Confirm coordinator level at project kickoff based on contract value and complexity, and initiate level review when scope crosses a threshold.
  • Keep assignments current in the tracking system and give leadership capacity visibility and staffing recommendations ahead of demand.
  • Own the quality and timeliness of coordinator data feeds that Finance, PMs, and HR/Payroll depend on - commitment, PO, and change-order data, and complete project turnover data.
  • Keep project-management and financial systems (BidTracer, Foundation, and related platforms) clean, accurate, and current across the portfolio.
  • Interface with Estimating on change-order turnaround and escalate chronic bottlenecks with a recommendation, not just a problem.
