About The Position

We are seeking a detail-oriented and highly organized Project / Contracts Administrator to support projects from contract award through closeout. This role is critical in ensuring accurate project setup, billing alignment, documentation management, and compliance with contract requirements. The ideal candidate will work closely with Project Managers, Sales, Accounting, and Billing teams to help keep projects running smoothly, maintain accurate records, and support successful project execution.

Requirements

  • 2+ years of administrative, project coordination, contract administration, or related experience.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Word.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with cross-functional teams.

Nice To Haves

  • Experience supporting construction, manufacturing, industrial services, or project-based organizations.
  • Familiarity with contract administration, project billing, or project management processes.
  • Experience with ERP, accounting, or project management software.

Responsibilities

  • Review and process contract documents, purchase orders, and project awards.
  • Coordinate project setup and ensure accurate entry of project information into company systems.
  • Support project managers with contract administration throughout the project lifecycle.
  • Monitor contract requirements, deadlines, and deliverables to ensure compliance.
  • Assist with billing setup and alignment between contract terms and invoicing requirements.
  • Track change orders, contract modifications, and project documentation.
  • Maintain organized project files and records.
  • Coordinate with internal teams to resolve project and contract-related issues.
  • Assist with project closeout documentation and final contract requirements.
  • Generate reports and provide administrative support for project tracking and status updates.
  • Ensure compliance with company policies, customer requirements, and applicable regulations.
