About The Position

Direct Supply is building the future of healthcare technology with industry-leading products, solutions and platforms to help improve the lives of millions of seniors and those who care for them. In the Project Associate position, you’ll play a key role in delivering successful Aptura and Capital projects ranging from $15K to $1M, including renovations and new construction initiatives. You’ll collaborate closely with clients, vendors, and cross-functional teams—including Capital Sales, Aptura Project Managers, Designers, and Operational Support—to keep projects moving efficiently from kickoff through completion. Responsibilities include pricing, quoting, procurement, project tracking, and project closeout activities, while ensuring a high-quality customer experience throughout the process. You’ll also support team initiatives, contribute to process improvements, and effectively manage multiple projects and priorities in a fast-paced environment.

Requirements

  • Demonstrated ability to communicate professionally and effectively with both operational and high-level customer/vendor contacts, and multi-functional internal teams with little guidance.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Demonstrates the capacity to swiftly make informed decisions in addressing intricate challenges and issues, while benefiting from occasional guidance.
  • Identifies opportunities to boost efficiency and add value using AI and tech.
  • Embraces and applies digital innovations and tech solutions to build business.

  • 4+ years of experience in project management, operations, or customer-facing roles with increasing responsibility.
  • Demonstrated success managing multiple concurrent projects involving cross-functional stakeholders, suppliers, and service providers.
  • Experience identifying and mitigating large-scale project risks while balancing customer satisfaction, operational efficiency, and profitability.
  • Proven ability to make independent decisions, offer creative problem-solving and drive results in a fast-paced, ambiguous environment.

Nice To Haves

  • Experience leveraging technology, automation, AI tools, or process improvement methodologies to improve efficiency and outcomes preferred.
  • Bachelor’s degree in Business, Communications, or related field
  • Project Management certification

Responsibilities

  • Oversee Aptura and Capital projects to ensure customers’ expectations are met with regard to scope, timeline, budget and service requirements while maximizing project profitability.
  • Create accurate quotes or proposals, including requesting pricing, freight, logistic and/or installation quotes and drafting quotes or proposals for customers.
  • Coordinate and plan the execution of all orders with the customer and project team through order placement and proactive communication of shipment and delivery information.
  • Manage changes in the fulfillment process to meet project timelines and budgets, while minimizing net loss.
  • Provide proactive communication to Capital Sellers, Aptura Project Managers, Designers and other sales/studio partners.
  • Participate in targeted customer visits capturing all customer selections, customer phone calls, and traveling on-site as needed.
  • Support team initiatives.
  • Contribute to process improvements.
  • Effectively manage multiple projects and priorities in a fast-paced environment.
