About The Position

The Project Assistant is responsible for providing administrative and coordination support to construction project teams to help ensure projects are completed safely, efficiently, on time, and within budget.

Requirements

  • Proficient in MS Office Suite of products.
  • Effective communication skills including verbal, written and presentation skills.
  • Strong multi-tasking and organizational skills.
  • Ability to handle several responsibilities at once under minimal supervision, take on special projects as assigned, and coordinate the activities of others to accomplish objectives and meet deadlines.
  • Demonstrated willingness to be flexible and adaptable to changing priorities.
  • 1-2 years of experience in an admin support role.
  • Post-secondary education in Administration or relevant training.

Nice To Haves

  • Bilingualism is an asset.
  • Knowledge of HVAC industry an asset.
  • Experience in a project management environment involving large construction projects is an asset.

Responsibilities

  • Assist the Project Coordinators with day-to-day administrative tasks.
  • Prepare Purchase Orders, Progress Billing, RFI’s, Permits, Shop Drawings & Closeout Documents.
  • Prepare contracts and revisions for changes & additions to contractual agreements with consultants, clients, suppliers & subcontractors including collecting all regulated documentation (WSIB, Insurance, Acquittances, Form 1000 etc.).
  • Assist with various administrative tasks as assigned.
  • Prepare reports to the Project Managers & Clients as requested.
  • Prepare Health & Safety Documentation as required.
  • Effectively & accurately communicate relevant project information to the client and project team.
  • Other duties as assigned.
