About The Position

Brock University is seeking a Project Administrator for the Department of Dramatic Arts. This is a fixed-term contract position ending in May 2027. The Project Administrator will report to the General Co-director of the Staging Better Futures/Mettre en scene de meilleurs avenirs SSHRC Partnership and will be responsible for supporting project operations and the workflows of the Knowledge Sustainability Cluster. Key duties include maintaining project management tools, coordinating meetings, managing internal communications, maintaining accurate records, managing content for the project’s digital archive, and financial administration. The Staging Better Futures/Mettre en scène de meilleurs avenirs (SBF/MSMA) project is a Canada-wide, cross-sectoral partnership focused on equity in post-secondary theatre education, involving over 90 participants from colleges, universities, theatre companies, and arts service organizations.

Requirements

  • Undergraduate degree in Art, Humanities, or Social Sciences, or Event, Stage, Production, or Project Management Certificate. The equivalent combination of education and experience would be considered;
  • Bilingual (French-English);
  • Related experience in roles that support operations and communications in event, stage, production, or project management, or a related field;
  • Related experience in roles that support digital archiving, records management, and data sustainability;
  • Related experience in financial administration;
  • Coordination and organisational skills with the ability to manage time, meet deadlines, and manage workflow;
  • Strong analytical skills with the ability to analyse complex information with attention to detail and accuracy;
  • Proficiency in Microsoft, Google, and Adobe software suites;
  • Demonstrated interest in emerging issues in data sustainability, including platform dependency, accessibility, and data security;
  • Demonstrated experience in managing project budgets and timelines;
  • Proficiency in Workday or other institutional financial management systems;
  • Highly developed sense of discretion and judgement to deal ethically with sensitive and/or confidential information;
  • High level of cultural competency and ability to work effectively with collaborators from differing disciplinary backgrounds, expertise, and lived experiences;
  • Promotes and embodies inclusivity and respect within the workplace and the broader community.

Nice To Haves

  • Experience working in higher education/postsecondary;
  • Expertise or lived experience in one or more areas of minoritization contributing to research focus: Indigeneity, racialization, disability, gender and/or sexual diversity, linguistic minoritization, socio-economic minoritization;
  • Working knowledge of html, xml, other digital markup languages, content management systems (especially Drupal), and/or text digitization and/or digital archiving;
  • Familiarity with federal and/or provincial research granting bodies, programs, and guidelines.

Responsibilities

  • Maintain project management tools (member directory, meeting and other document templates, timeline template);
  • Co-ordinate meetings of the co-directors, Knowledge Sustainability Groups, and other meetings requiring simultaneous interpretation;
  • Maintain a calendar of annual activities (deliverables, milestones);
  • Facilitate translation and interpretation;
  • Coordinate, budget, book, and manage expenses for travel for project co-directors and postdoctoral fellows;
  • Develop and implement the project’s strategic communications plan and the project's brand/visual identity;
  • Oversee consistency with the project’s bilingual glossary and lexicon in project communications.
  • Collect, organize, and maintain accurate and up to date records of Project Management and Operations activities;
  • Record meetings and distribute and archive recordings;
  • Collect, organize, format, and upload research records in multiple media (including text, sound, video, and images);
  • Contribute to development and implementation of a project-wide data sustainability plan, monitor consistency;
  • Manage all aspects of invoice payment, process cheque requisitions, hires and PAPs on Workday;
  • Prepare and monitor RA contracts;
  • Liaise with partner institutions to establish agreements, manage annual reporting, and provide guidance on eligible expenses;
  • Prepare and submit required reports to SSHRC and other funding agencies;
  • Maintain monthly budget reconciliations;
  • Assist with grant applications and other fundraising.
