Requirements

  • High School Diploma required
  • 3-5 years of administrative support experience, preferably in engineering or construction
  • Excellent communication and interpersonal skills, including verbal and written communication
  • Intermediate computer skills utilizing Excel, Word, PowerPoint, Outlook
  • Strong organizational and time management skills
  • Strong work ethic
  • Ability to function as a team builder/player
  • The ability to freely access all points of a construction site in wide-ranging climates and environments

  • Bilingual in Spanish preferred

Responsibilities

  • Process new hire paperwork for craft/field employees.
  • Upload and update employee data, including union pay upgrades and tax forms.
  • Conduct E-Verify.
  • Assist project safety staff and IT with coordinating equipment for project staff.
  • Complete 3-way match for Accounts Payable.
  • Work with the Project Manager to create change orders.
  • Communicate and coordinate with the Accounts Payable department.
  • Collect Certified Payroll from vendors.
  • Prepare owner billings for Accounts Receivable.
  • Reconcile billings with owner payments.
  • Post all incoming payments from owners.
  • Prepare Subcontractor accruals SOV's.
  • Reconcile Subcontractor SOV's on a monthly basis.
  • Finalize Subcontractor SOV's for payment.
  • Collect all documents for Subcontractor compliance, including CPR, Insurance, Union documents, and correspondence.
  • Communicate with Subcontractors to ensure proper payment.
  • Track and monitor any stop notices and bond claims on the project.
  • Receive timesheets from the field.
  • Verify cost codes and hours on timesheets for accuracy.
  • Enter hours and verify their correctness with reports.
  • Accrue all equipment hours and maintain an equipment log.
  • Create change orders for all monthly equipment purchase orders.
  • Reconcile equipment hours.
  • Prepare comprehensive Cost Forecast by project for month-end.
  • Finalize Subcontractor and owner billings for prior months.
  • Assist in all audits performed.
  • Ensure vendors are paid in a timely manner.
  • Collect Certified Payroll from vendors.
