Requirements

  • 2-4 years of administrative experience
  • A strong focus on customer service with a pleasant phone manner
  • Ability to quickly develop working relationships with a broad range of individuals, both internally and externally
  • Excellent verbal and written communication skills and the ability to maintain a professional demeanor at all times with fellow employees, clients, service providers and suppliers

Nice To Haves

  • A diploma or post-secondary in Administration or Accounting would be considered an asset

Responsibilities

  • Answer and direct incoming calls in a prompt, professional and courteous manner
  • Book and coordinate meetings and create and distribute meeting minutes
  • Manage incoming and outgoing mail, resource room schedules, various Excel spreadsheets and training materials
  • Ensure that employee and equipment time is recorded and entered
  • Create documentation such as client reports, presentations and proposals as required
  • Receive and validate invoices, assist with accounts payable viewing/coding and approvals
  • Liaise with subtrades and project personnel towards ensuring project pre-requisites are in place
  • Manage and track jobsite attendance and coordinate personnel data-tracking protocols
  • Ensure project and personnel data is compiled, tracked and updated accurately
  • Perform document controller responsibilities
