About The Position

Veregy is an award-winning NAESCO-Accredited decarbonization company focusing on accelerating and simplifying Energy Transition. We provide turnkey engineering and construction services designed to reduce our clients' energy and operating costs through the implementation of energy efficiency and infrastructure upgrades, smart building technology, fleet EV infrastructure, clean energy generation, and sustainability. This role organizes the many critical, detailed tasks that assist Veregy’s customers, project engineering and accounting teams in a successful and smooth financial and operational project delivery. This role serves cross-functionally between the many stakeholders in the company, including operations, sales, engineering, development, services, and accounting. The successful candidate will be able to communicate well, coordinating and organizing efforts from teammates both locally and remotely.

Requirements

  • High School Diploma or GED.
  • 5 years of project assistance, project coordination, administrative assistance or closely related experience in a Construction, HVAC, Building Automation, or related field.
  • Knowledge of basic office procedures and processes.
  • Knowledge of the principles of file and records management.
  • Knowledge of the basic principles of bookkeeping and accounting, including job costing concepts.
  • Ability to simultaneously manage multiple projects with overlapping deadlines, deliverables, and other requirements.
  • Experience working with remote teams across multiple geographies.
  • Strong interpersonal communication skills.
  • Ability to establish and maintain effective working relations with co-workers, vendors, customers, the general public, and others doing business with Veregy.
  • Ability to operate a personal computer utilizing a variety of standard office and specialized/customized software applications, including ERP/accounting systems and Microsoft Excel.
  • Valid drivers license.

Responsibilities

  • Prepares and submits finalized documents to subcontractors and vendors for execution.
  • Sets up jobs, budgets, and estimates and enters POs and subcontracts in accounting/ERP software.
  • Reviews job cost postings and accurately applies costs to POs, subcontracts, cost codes, and jobs to ensure reliable project financial data.
  • Maintains and ensures accuracy of project and contract data that records the critical moments in each contract’s lifecycle, including, but not limited to, the Beginning/End of the agreement, Length of the deal, Billing cycles, Reporting Requirements, Key Contacts and Relationship Owners, and Renewal schedules.
  • Processes client billings per schedules of values (SOV), milestones, and projections; records and maintains accounts receivable.
  • Works with stakeholders and customers to reconcile past-due invoices.
  • Assists in Project kick-off, handoff, and estimate reviews to ensure proper project setup and alignment between sales, operations, and accounting.
  • Assists with monthly cost report generation, cost-to-complete projections, and financial review.
  • Additional duties to be assigned, as needed.
