About The Position

Under general direction, performs analytical and administrative duties related to the administration and coordination of student programs and services. Evaluates and assists in the implementation of program activities, ensuring compliance with program/service goals and objectives, as well as relevant laws, regulations, and policies. Assists with the establishment of goals and objectives, and the development of service area outcomes. Gathers data for program evaluation processes, recommends work processes, and assists in the design and implementation of new programs and services. Works under the direct supervision of the department manager and may provide work direction to lower-level employees, temporary employees, and/or student workers.

Requirements

  • Bachelor’s degree from an accredited college or university in public administration, business administration, psychology, sociology, counseling, education, or a related field.
  • Four (4) years of analytical and administrative experience in an academic setting in the related area(s).
  • Knowledge of Student outreach, student recruitment, and program assessment principles.
  • Knowledge of College instructional, student services, degree, certificate, and transfer programs.
  • Knowledge of Principles, practices, and techniques of public speaking, group facilitation, consensus building, and effective communication in a multicultural environment.
  • Knowledge of Methods of researching and reporting complex statistical and narrative information.
  • Knowledge of Principles and practices of recordkeeping including the appropriate handling of confidential or sensitive information.
  • Knowledge of Academic programs and support services available to students.
  • Knowledge of Automated recordkeeping techniques.
  • Knowledge of Principles and practices of bookkeeping.
  • Knowledge of Technical methods of data organization, collection, research, and reporting.
  • Knowledge of Methods of prioritizing, planning, and organizing work.

  • Serves as a Designated School Official (DSO) for the District, ensuring the enrollment of nonimmigrant students is in compliance with the Department of Homeland Security’s (DHS) Student and Exchange Visitor Program (SEVP) and directly providing students with necessary information to make informed decisions regarding maintaining their nonimmigrant student status and utilizing support services.
  • Enters and maintains records for nonimmigrant students in the Student and Exchange Visitor Information System (SEVIS), including processing I-20 extensions, transfers, change of levels, terminations, and CPT/OPT work authorization requests, processing reduced course loads, and meeting all mandated timelines for reporting.

Responsibilities

  • Performs analytical and administrative duties related to the administration and coordination of student programs and services.
  • Evaluates and assists in the implementation of program activities and ensures their compliance with program/service goals and objectives as well as relevant laws, regulations, policies, and procedures.
  • Leads and coordinates student orientations, workshops, and/or activities and materials to inform students of available programs and services.
  • Serves as a resource to students, employees, and the public with regard to complex program or service issues; responds to and resolves inquiries and complaints.
  • Researches and resolves student status issues related to enrollment, course loads, academic progress, work authorizations to ensure compliance with student program or service requirements.
  • Recommends, coordinates, and assists in the planning and implementation of new procedures in response to changes in program or service requirements.
  • Provides technical guidance to employees regarding the interpretation and application of relevant laws, regulations, policies, and procedures.
  • Recommends written procedures and the development of training materials.
  • Assists in the development and implementation of work processes that incorporate available technologies.
  • Assists in the design and implementation of new programs and services that support overall student success.
  • Collaborates with other departments, programs, and services to obtain and provide information essential to meeting goals and desired outcomes and facilitates student engagement.
  • Prepares and conducts presentations related to assigned programs, services, and activities.
  • Responds to employee’s requests by researching information and developing presentations and materials to address specific subjects or issues of interest.
  • Coordinates activities related to student advisement, interviewing, program/service eligibility screening.
  • Researches, compiles, and analyzes information and data; develops comprehensive analytical reports and makes recommendations.
  • Searches databases and record systems to gather, compile, and report information to state and federal authorities, and administration.
  • Prepares information and reports for management and/or other staff.
  • Ensures the maintenance of secure and confidential student files and records.
  • Enters data and maintains student databases; releases records in accordance with applicable legal and policy requirements.
  • May provide work direction to lower level employees, temporary employees and/or student workers.
  • Performs other related duties as assigned.
