About The Position

Programming Coordinator Lasell Village is a unique life plan community with education at its heart, located on the beautiful campus of Lasell University in Newton. We are a caring and vibrant community home to more than 225 residents in independent living apartments, supported living studios, and a 5-star skilled nursing and rehabilitative facility. POSITION SUMMARY The Programming Coordinator in the Education Department supports the daily operations of the Lasell Village Education and Resident Programming Departments through administrative coordination, resident communication, event scheduling, and program support. This position helps ensure that educational programs, Morning Session, events, trips, and fitness classes run smoothly throughout the year. This role maintains accurate program information across multiple systems and creates a positive experience for residents seeking support from the office. The Coordinator also leads the Morning Sessions, a weekday series of conversations, classes, and programs for residents of varied cognitive and physical abilities, both by facilitating sessions and by taking primary responsibility for scheduling, communication, logistics, and coordination with presenters. Critical requirements of this position include strong organizational and communication skills, excellent customer service, adaptability, initiative, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Minimum of 2 years of experience in an administrative assistant, office coordinator, programming, education, or related role.
  • Associate degree required; Bachelor’s degree preferred.
  • Excellent interpersonal, organizational, customer service, and written/verbal communication skills.
  • Ability to manage multiple concurrent assignments and adapt to changing priorities.
  • Comfortable initiating and guiding group dialogue and engaging diverse participants.
  • Ability to work independently while thriving in a collaborative team environment.
  • Strong problem-solving skills with the ability to assess situations and redirect appropriately.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint Zoom, and ability to learn new software systems.
  • Strong command of grammar, spelling, punctuation, and professional written communication.
  • Initiative, creativity, patience, flexibility, resourcefulness, sense of humor, and ability to think independently are essential.
  • Ability to maintain confidentiality and exercise professionalism in resident interactions.

Nice To Haves

  • Experience coordinating events, schedules, or educational programming preferred.
  • Prior experience working with older adults is a plus.
  • Experience or training related to dementia care, special needs populations, education, recreation, or community programming is a plus.
  • Helpful to have familiarity with Adobe Acrobat editing, Canva, Canvas by Instructure, and scheduling systems such as WorxHub.

Responsibilities

  • Lead Morning Sessions mini-classes and learning/social activities during Morning Session programming hours.
  • Prepare lessons and activities appropriate for adults with a range of physical and cognitive abilities (e.g. introductory presentations about various countries, music, art, discussions of upcoming events like Olympics or World Cup, positive current events and news items, etc.)
  • Coordinate food service arrangements for Morning Session and department events.
  • Maintain and communicate Morning Session schedules and program updates.
  • Act as primary coordinator for WorxHub room bookings, including scheduling events, approving requests, communicating setup needs, and resolving scheduling conflicts.
  • Create and maintain accurate listings of events, classes, and programs on the community’s internal website and communication platforms.
  • Coordinate resident trips and assist with trip logistics and scheduling.
  • Maintain organized department files, records, and databases.
  • Support resident communication regarding classes and programs through News & Notes, creation and distribution of flyers, emails, notices, and direct assistance.
  • Coordinate receiving and adding content for Lasell Village’s weekly newsletter, News & Notes and ready for distribution on a weekly basis to all resident buildings
  • Respond promptly and professionally to resident, team member, and vendor inquiries.
  • Assist with the implementation of classes and events via Zoom, in-house TV systems, and classroom settings.
  • Set up and arrange chairs, tables, and materials for classes, meetings, and events as needed.
  • Maintain confidentiality of resident records and sensitive information.
  • Respond calmly and appropriately to emergencies by following Village protocols.
  • Perform additional duties as assigned.
