About The Position

The Program Specialist provides both program coordination and client support to ensure children and families have a positive, seamless experience with Team Up Mentoring. This position supports program logistics, participant onboarding, volunteer coordination, and family engagement while helping maintain a safe, welcoming, and trauma-informed environment. The ideal candidate is highly organized, relationship-focused, adaptable, and passionate about serving children and families affected by trauma.

Requirements

  • Valid driver’s license.
  • Reliable transportation.
  • Ability to pass required background checks.
  • Prolonged sitting and computer work.
  • Walking and standing during programming.
  • Occasional lifting of up to 20 pounds.
  • Driving to program sites, schools, and community locations.
  • Ability to communicate effectively in person, by phone, and electronically.

Nice To Haves

  • Bachelor’s degree in Education, Social Work, Human Services, Psychology, Youth Development, or a related field.
  • Two years of experience working directly with youth and families preferred.
  • Experience providing trauma-informed services.
  • Experience coordinating programs or events preferred.
  • Experience working with diverse populations.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication.
  • Ability to build strong relationships with children, caregivers, volunteers, and community partners.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Working knowledge of community resources.
  • Proficiency with Google Workspace and standard office technology.
  • Ability to work independently while collaborating effectively with a team.

Responsibilities

  • Serve as a welcoming first point of contact for prospective client families.
  • Conduct client intakes by phone, in person, or during home visits as needed.
  • Collect and verify required enrollment documentation.
  • Determine eligibility for Team Up programs.
  • Coordinate timely registration and onboarding of new participants.
  • Maintain accurate client records and documentation.
  • Track intake and registration timelines to ensure families move efficiently through the enrollment process.
  • Provide excellent customer service and support throughout the enrollment process.
  • Build trusting, respectful relationships with children and caregivers.
  • Connect families with internal and community resources as appropriate.
  • Support transportation, communication, advocacy, and other participant needs that reduce barriers to participation.
  • Coordinate transportation for participants.
  • Coordinate meal donors and community partners, including scheduling and welcoming onsite volunteers.
  • Assist with planning and coordinating program activities.
  • Identify and coordinate guest speakers and enrichment opportunities.
  • Facilitate small group activities and discussions as needed.
  • Administer participant pre-tests, post-tests, surveys, and evaluations.
  • Assist with maintaining program supplies, inventories, and equipment.
  • Help monitor program budgets and purchasing as assigned.
  • Foster a safe, positive, and trauma-informed environment.
  • Encourage active participation and consistent attendance.
  • Ensure participants receive meaningful recognition for accomplishments and growth.
  • Support individualized experiences that meet the unique needs of each participant.
  • Build positive relationships with youth while modeling Team Up’s core values.
  • Assist with training volunteers, facilitators, and interns on curriculum and program expectations.
  • Support volunteer engagement during programming.
  • Represent Team Up professionally with community partners.
  • Deliver presentations to community organizations as assigned.
  • Maintain positive relationships with schools, community agencies, and referral partners.
  • Maintain accurate program documentation and reports.
  • Utilize Google Workspace and organizational databases effectively.
  • Track assigned projects and complete work within established deadlines.
  • Communicate regularly with supervisors regarding participant needs, concerns, and program progress.
  • Participate in required staff meetings and professional development.
