About The Position

This position functions to process requests for proposals, requests for applications, project applications, invoices, amendments, performance reports, project fiscal review and monitoring, data management, project review and revision, award notification, serves as a liaison with the Bureau of Grants Management and other applicable entities, and provides all technical assistance to the field in relation to funding, the grant process, and applicant training. The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions: We are seeking a highly organized, detail-oriented professional to manage multiple Career and Adult Education grant programs. The ideal candidate will be proactive, adaptable, and committed to providing excellent customer service while ensuring compliance with state and federal requirements. Responsibilities include evaluating pre-approvals and requests for proposals, monitoring award notifications, providing technical assistance to applicants, and conducting webinars and program reviews. The role also involves developing grant review checklists and team training, facilitating invoice management and payment processes, and overseeing fiscal and performance reporting, including budget reconciliation. The successful candidate will maintain direct communication with applicants to ensure grant compliance and support the effective administration of the division’s Career and Adult Education grants.

Requirements

  • Three or more years of relevant experience in grants, contracts, or project management.
  • Proficient in creating formulas, sorting, and filtering data in Microsoft Excel.
  • Ability to manage multiple competing tasks in a timely manner.
  • Ability to communicate effectively including verbal and written communication.
  • A bachelor’s degree from an accredited college or University.

Nice To Haves

  • Preferences will be given to applicants who have excellent writing and communication skills.
  • A current Florida Certified Contract Manager (FCCM) license or a willingness to obtain this license within the first six months of employment.

Responsibilities

  • Evaluation of Pre-approvals and Requests for Proposals
  • Monitor award notifications
  • Provide applicant technical assistance
  • Perform webinars and trainings
  • Conduct project reviews and make recommendations for approval
  • Maintain direct contact with applicants to ensure grant accuracy
  • Responsible for creating Carl D. Perkins grant review process checklist and team training
  • Perform secondary peer review of Career and Technical Student Organization State Leadership grant’s invoices
  • Conduct program review
  • Access performance reports and accountability
  • Facilitate invoice management and payment process
  • Work with Comptroller and Bureau of Grants Management
  • Conduct desk audits program compliance monitoring based on reporting
  • Manage Adult Education Performance and Fiscal reconciliation processes
  • Compile and compute budget allocations
  • Maintain Personnel Activity Reports
  • Provide current accurate reports
  • Assist with the development of an operational procedures manual
  • Assist with the annual budget reconciliation statement for federal grant expenditures.
  • Performs other related work as assigned
