About The Position

The Program Specialist I provides operational support to the coordinator in the daily functions of the Welcome Center while overseeing mail processing, package distribution, and supply inventory in the mail room. This position ensures efficient operations, accurate recordkeeping, and high-quality customer service, and provides guidance and training to student employees. The role requires strong organizational, communication, and problem-solving skills, as well as a detail-oriented, service-focused approach.

Requirements

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • No prior experience required
  • Ability to effectively communicate both orally and in writing
  • Ability to positively and professionally interact with clients and staff
  • Excellent communication and presentation skills
  • Strong interpersonal and organizational skills
  • Working knowledge of office software and instructional programs
  • Ability to positively and professionally interact with clients and staff, groups of various sizes
  • Ability to multitask and work cooperatively with others
  • This position is security sensitive
  • This position will require export-control authorization prior to starting employment.
  • This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures
  • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements
  • This position may require work beyond normal office hours and/or work on weekends
  • Ability to work outdoors exposed to various weather conditions, potential allergens, elevated noise levels, and heat
  • Ability to move up to 10lbs with or without assistance
  • Ability to move light, medium or heavy objects with or without assistance.
  • Ability to travel independently to other and/or remote locations by driving and/or flying on commercial airlines

Responsibilities

  • Provide operational support to the coordinator in the daily functions of the Welcome Center.
  • Maintain organized, professional workspaces and support continuous operational improvement.
  • Identify operational challenges and recommend process improvements to enhance efficiency and effectiveness.
  • Manage accurately, timely, and confidential records related to mail services, inventory, and operational activities.
  • Manage inventory of materials (publications and swag) used for campus visit experience.
  • Oversee inventory management and distribution, including monitoring supply levels and maintaining accurate inventory records.
  • Oversee the receipt, processing, tracking, and distribution of incoming and outgoing mail and packages in accordance with established procedures.
  • Ensure compliance with institutional policies, safety guidelines, and applicable postal and mailing regulations.
  • Support the daily assignment and customer service standards of Student Ambassadors.
  • Provide guidance and support to Student Ambassadors to ensure a high-quality visitor and customer service experience.
  • Supervises, trains, and evaluates the work of others.
  • Maintain an understanding of admissions processes and requirements to assist prospective students and families with common inquiries.
  • Assist with admissions-related presentations, campus tours, and visitor engagement activities as needed.
