About The Position

TRISTAR is seeking a detail-oriented and organized Program Scheduler to support the development, maintenance, and monitoring of program schedules across multiple projects and stakeholders. The Program Scheduler will be responsible for coordinating schedule activities, tracking milestones, identifying potential delays, and communicating upcoming events and task requirements to program leadership, project teams, and customers. The ideal candidate will have experience with project or program scheduling, strong communication skills, and the ability to manage competing priorities in a dynamic, technical environment. This role requires close collaboration with program managers, project leads, technical teams, and external stakeholders to ensure schedule commitments are clearly defined, tracked, and communicated.

Requirements

  • 2+ years of experience in program scheduling, project coordination, project controls, or a related field.
  • Bachelor's degree in Business Administration, Project Management, Engineering, or a related field; equivalent relevant experience may be considered.
  • Experience developing, maintaining, and monitoring project or program schedules.
  • Proficiency with Microsoft Project, Primavera P6, or comparable scheduling software.
  • Strong organizational, analytical, and time-management skills.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with technical teams, leadership, and customers.
  • Ability to manage multiple schedules, competing priorities, and changing requirements.
  • Demonstrated ability to identify schedule conflicts, track dependencies, and communicate potential impacts.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Experience supporting Department of Defense (DoD) programs or government contracting environments.
  • Experience developing and maintaining Integrated Master Schedules (IMS).
  • Familiarity with schedule performance metrics, critical path analysis, and schedule risk identification.
  • Experience preparing program briefings, status reports, and executive-level schedule summaries.
  • Experience working with cross-functional teams and multiple subcontractors or external stakeholders.
  • Ability to obtain and maintain a security clearance.
  • Must be a U.S. Citizen.

Responsibilities

  • Develop, maintain, and monitor integrated program and project schedules in coordination with program managers and project leads.
  • Coordinate with stakeholders to identify and document project activities, milestones, dependencies, deliverables, and critical deadlines.
  • Track schedule progress and provide regular updates on task completion, upcoming activities, and milestone status.
  • Communicate upcoming events, milestones, meetings, task assignments, and schedule changes to relevant stakeholders.
  • Identify potential schedule delays, conflicts, and risks, escalating concerns to program leadership and supporting the development of mitigation strategies.
  • Maintain accurate schedule data, including task durations, dependencies, baseline dates, actual progress, and forecast completion dates.
  • Support the development of short-term and long-term schedule forecasts to facilitate resource planning and program execution.
  • Coordinate schedule updates across multiple teams and ensure information is accurately reflected in the program's integrated schedule.
  • Prepare and distribute schedule reports, dashboards, briefings, and status updates for internal and customer stakeholders.
  • Facilitate schedule review meetings and coordinate follow-up actions to ensure commitments and assigned tasks are tracked to completion.
  • Support the development and maintenance of Integrated Master Schedules (IMS), project schedules, and milestone tracking tools.
  • Assist program leadership with analyzing schedule performance, identifying trends, and evaluating impacts associated with changes in scope, resources, or priorities.
