About The Position

The Program Manager II supports department or program leadership and manages the activities and functions of a large or complex program or multiple programs to ensure that goals and objectives specified for the program are accomplished in accordance with established priorities, time limitations, funding limitations or other specifications. The program provides a specific service or carries out specific activities as a separate entity or as a component program within a department, but it is not a department itself. As a key member of the administrative team of Graduate Education in Public Health (GEPH), the Program Manager of Strategic Communications and Outreach leads a comprehensive communications and outreach program across all GEPH academic programs, with an emphasis on prospective student engagement for its Master’s and Ph.D. programs, as well as internal communications pertaining to student and trainee life and milestones. The Manager reports to the Senior Director of Administration.

Requirements

  • Bachelor's degree or greater preferred, or combination of applicable experience and education
  • 5+ years of experience preferably in Business, Marketing, Communications or related field

Nice To Haves

  • Five or more years communications/outreach experience with strong emphasis on digital channels
  • Experience in higher education, public health, or non-profit integrated communications preferred
  • Experience managing complex and long-term strategic communications projects preferred.

Responsibilities

  • Partnering with GEPH leadership, program directors, and the central Communications office, leads the strategic development and execution of a comprehensive outreach strategy, with particular focus on prospective student engagement for Master’s and Ph.D. programs.
  • Leads enrollment strategy meetings with Deans, Directors, and Program Managers to align on priorities and actions.
  • Incorporates digital and traditional outreach elements across the full enrollment pipeline (from lead/prospect, to applicant, to admitted student, to matriculant).
  • Tracks lead sources and outreach tactics, reporting on what drives applications and making strategic recommendations based on results.
  • Coordinates with Program Faculty Directors and Program Managers to ensure programs are accurately represented in all outreach efforts.
  • Develops program-specific email campaigns, tracks progress weekly during enrollment cycles, and contributes to strategic planning of the outreach calendar and related materials.
  • Represents GEPH programs at information sessions, education fairs, and other prospective student venues as needed.
  • Provides strategic guidance to leadership on day-to-day branding, media production, and communications activities.
  • Works with leadership and program directors to develop creative briefs for campaigns, and partners with Central Communications on campaign asset development.
  • Manages and performs all website updates. Responsible for maintaining all GEPH pages and keeping them up to date with information such as content related to prospective student engagement, new research being published, curriculum changes, staff changes, and more.
  • Responsible for keeping Spark451/Element program microsites updated with current information and statistics, as well as making sure the lead inquiry form is functioning.
  • Manage the content schedule for all program media channels.
  • Ensure that all major events, information sessions, student and faculty accomplishments, and more are represented.
  • Make recommendations for new Social Media platforms that are appropriate and can increase our reach and influence.
  • Partner with Central Communications Social Media team to get extensive coverage for major events such as both Commencement Ceremonies and the Lab Coat Ceremony.
  • Protects the visual identity of GEPH by ensuring all materials — from external vendors and internal staff — adhere to Mount Sinai and GEPH brand standards (logo, typography, colors).
  • Maintains staff access to brand assets and communicates brand updates across the department.
  • Performs project management across all communications initiatives: collaboratively defines metrics and timelines, monitors execution, and reports on outcomes.
  • Tracks application and admission counts as students progress through the enrollment pipeline, evaluating data to maximize outreach impact.
  • Conducts competitive analysis for programs to determine the programs’ strengths and weaknesses in the marketplace.
  • Makes recommendations to program teams and leadership based on the results.
  • Performs other duties as required, in support of the administrative management and operations.
  • Attends events to meet and identify students to highlight for prospective student outreach purposes.
  • Coordinates interviews with students to transcribe into written and video content to be used to promote the programs.
  • Draft and publish articles about students and events for the Mount Sinai Today blog.
  • Act as a subject matter expert on the CRM system Element451. Responsible for uploading leads, developing labels and tagging leads, creating segments to send emails to, managing email campaigns within the tool, editing workflows that link from the Spark451 landing pages, and granting access to staff and leading trainings on the tool for them.
  • Manages lead generation.
  • Works with Enrollment Services to purchase lists such as the GRE and MCAT list to engage via email campaigns.
  • Partners with external vendors to get lead lists.
  • Coordinates new lead list uploads to Element451 with the appropriate tags.
  • Develops strategies for engaging with leads and managing lists to prevent email domain reputation decreases that can make us appear as SPAM to prospects.
  • Reports on which lead sources are most successful and makes recommendations to leadership about how to adjust campaigns.
  • Populate and manage the BoltBot AI tool within Element451 with program and general Program webpages to learn about our programs and then answer student questions on our Spark451 microsites.
  • Develop custom rules to route requests to the appropriate program managers.
  • Manage the conversations within Element451 and work with the appropriate program managers on any system issues.
  • Develop creative materials for all communications purposes, including social media posts, digital screen displays on campus, event materials such as program booklets, and other materials as needed.
  • Manages photography and video, including writing, planning, and executing shoots to represent the institution.
  • Partners with Deans and Directors on creative briefs, attends shoots to ensure accurate execution, and reviews footage to determine final content.
  • Coordinates photo and video archiving in the Merlin system with appropriate tags for staff access.
  • Manages vendor relationships and ensures all programs are represented.
