About The Position

This position is responsible for coordinating and managing the full lifecycle of faculty appointments, reappointments, promotions, tenure actions, and related academic activities in collaboration with the Office of Faculty Affairs (OFA), academic departments, and institutional partners. The role involves planning, implementing, and overseeing Faculty Affairs workflows, timelines, and deliverables to ensure accurate, timely, and consistent execution of faculty actions across departments. It also supports operational policies, procedures, and process documentation related to faculty appointments, promotions, ranks, and tenure, ensuring compliance with institutional, accreditation, and governance requirements. The Program Manager will maintain and monitor faculty data, tracking tools, and systems to ensure accurate documentation, milestone tracking, reporting, and audit readiness. They will prepare analyses, summaries, and reports reflecting progress, trends, and workload related to faculty appointment, promotion, and tenure processes, identifying risks or process gaps and recommending operational improvements. This role serves as a primary liaison and point of contact between the Office of Faculty Affairs, academic departments, business administrators/directors, faculty, and leadership regarding Faculty Affairs policies, procedures, and timelines. Additionally, the position provides guidance and consultation to faculty and departmental partners on appointment, promotion, and tenure requirements, and oversees and maintains Office of Faculty Affairs SharePoint sites and related content. The Program Manager will design and develop tools and resources to support consistent and effective Faculty Affairs operations and facilitate and participate in meetings, trainings, and working sessions related to faculty appointments, promotions, and tenure. Finally, the role supports quality assurance and continuous improvement initiatives within the Office of Faculty Affairs.

Requirements

  • Bachelor's degree with two years of relevant experience required.
  • Two years' experience in project management, program management development, administration or supervisory experience required.
  • This position requires a professional who thrives in a close‑knit team environment, contributes collaboratively, and is willing to assist with work at all levels as needed to support Faculty Affairs APT operations.
  • This role requires the ability to manage multiple priorities, adhere to strict and often time‑sensitive timelines, and demonstrate a strong commitment to completing work accurately, thoroughly, and on schedule.

  • Provides guidance and consultation to faculty and departmental partners on appointment, promotion, and tenure requirements, including responding to complex or time‑sensitive inquiries and resolving process-related issues.
  • Coordinates and supports administrative and operational activities related to faculty onboarding, reappointments, promotions, tenure actions, separations, and retirements, as applicable.
  • Oversees and maintains Office of Faculty Affairs SharePoint sites and related content, ensuring documentation, forms, guidance materials, and resources are current, accurate, accessible, and aligned with Faculty Affairs processes.
  • Designs and develops tools and resources, including templates, forms, job aids, instructional materials, and web content, to support consistent and effective Faculty Affairs operations.
  • Facilitates and participates in meetings, trainings, and working sessions related to faculty appointments, promotions, and tenure; prepares agendas, materials, and follow‑up communications as needed.
  • Supports quality assurance and continuous improvement initiatives within the Office of Faculty Affairs by monitoring processes, evaluating outcomes, and implementing operational enhancements.
