About The Position

Serves as program coordinator for assigned conferences/seminars/educational events. Supports leadership in implementation, coordination, evaluation and planning of program's short/long term goals. Serves as primary liaison for daily administration and operational issues such as data management, marketing/ communications, outreach, conference coordination, education, and social media coordination. Maintains direct communication with key staff for interaction and information exchange among program components and divisional planning teams. Plans and executes conferences in a timely manner.

Requirements

Responsibilities

  • Serves as program coordinator for assigned conferences/seminars/educational events.
  • Supports leadership in implementation, coordination, evaluation and planning of program's short/long term goals.
  • Serves as primary liaison for daily administration and operational issues such as data management, marketing/ communications, outreach, conference coordination, education, and social media coordination.
  • Maintains direct communication with key staff for interaction and information exchange among program components and divisional planning teams.
  • Plans and executes conferences in a timely manner.
  • Coordinates all logistics related to the assigned conferences/seminars/educational events, and could include, but is not limited to, the following: Facilitate planning meetings and calls with divisional planners, including agenda development, documentation, and follow‑up.
  • Manage venue and vendor selection and coordination, including RFP development, negotiation, and contracting.
  • Facilitate reimbursement and expense reporting in accordance with organizational policies.
  • Create, monitor, and reconcile conference budgets; track revenue and expenses.
  • Coordinate conference registration processes for departmental events.
  • Manage speaker logistics and communications, including travel arrangements and on‑site support.
  • Lead and manage on‑site conference operations to ensure smooth execution.
  • Design and execute strategic marketing campaigns across email, web, and social media platforms to drive attendance and engagement.
  • Collaborates effectively and responsively with internal and external stakeholders to achieve conference and program goals, serving as a trusted resource to planning teams for scheduling, follow‑up, and issue resolution.
  • Independently manages assigned conferences end‑to‑end, from initial planning through post‑event evaluation, and serves as the primary decision‑maker for day‑to‑day conference operations.
  • Plays a lead role in developing and executing strategic marketing and outreach initiatives to support program objectives.
  • Provides proactive support, problem‑solving, and clear communication to stakeholders, and updates related materials as needed, including letters, forms, newsletters, web content, and marketing communications and materials.
  • Manages conference budget including tracking revenue and expenses and reconciling to close out budget.
  • Establishes and maintains efficient and effective database management systems for conference, in conjunction with CME team.
  • Maintains records needed for accreditation purposes.
  • Analyzes and monitors financial performance and report financial results to stakeholders; evaluate variances, determine underlying causes and identify, present, and implement proposed solutions.
