As the Program Coordinator for the Department of Computer Science, this role is crucial for advancing both undergraduate and graduate academic programs. The coordinator will work closely with faculty, students, and administrative partners to foster a supportive, inclusive, and well-coordinated academic experience for a diverse student body. Collaboration with the Department Business Manager, Undergraduate Program Lead, and Graduate Program Lead is essential for smooth program operations. The position involves managing complex academic and program coordination responsibilities across various programs, initiatives, and stakeholders, contributing to continuous process improvement, ensuring compliance with university and Trinity policies, and supporting innovative teaching and learning environments.

Requirements

  • Work requires analytical, organizational, and communication skills generally acquired through completion of a bachelor's degree program an equivalent combination of relevant education and experience.
  • Minimum of one year of related administrative, program coordination, or student services experience, preferably in a higher education environment.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy in data and process management.
  • Ability to work collaboratively with students, faculty, and staff.
  • Proficiency with data systems, spreadsheets, and reporting tools.
  • Ability to identify issues and coordinate appropriate resolution.

Responsibilities

  • Coordinate administrative and programmatic activities for undergraduate and graduate Computer Science programs.
  • Support major/minor declarations, independent study tracking, graduation verification, and milestone tracking.
  • Serve as a primary point of contact for routine student inquiries and connect students with appropriate campus resources.
  • Maintain accurate student records and databases in alignment with Trinity and university policies.
  • Support recruitment, student engagement events, and awards processes for graduate programs.
  • Manage shared program inboxes and respond to routine inquiries.
  • Support course scheduling, classroom assignments, exam accommodations, and instructional logistics.
  • Assist with teaching assistant (UTA and TA) coordination, including hiring logistics, onboarding documentation, assignments, and timecard tracking.
  • Support course-related activities such as exams, assignments, grading workflows, and faculty coordination.
  • Coordinate logistics for orientations, workshops, graduation activities, and student engagement events.
  • Support summer programs, including application tracking, scheduling, participant communications, and speaker coordination.
  • Maintain program data, documentation, and tracking systems across undergraduate and graduate programs.
  • Generate standard reports for program leadership.
  • Monitor compliance with university and Trinity policies and escalate issues as appropriate.
  • Identify data discrepancies and assist with coordinating timely resolutions.
  • Draft and distribute routine program communications.
  • Maintain program websites and shared resources with accurate, up-to-date information.
  • Coordinate with campus partners, including Trinity Academic Affairs and other Duke units.
  • Participate in program meetings and track action items and follow-ups.
  • Support implementation of program initiatives under the direction of program leadership.
  • Maintain timelines, documentation, and workflows to ensure efficient program delivery.
  • Perform other related duties as assigned.
