About The Position

Flexicrew Technical Services (FTS) is seeking a skilled Program Coordinator to manage and support the operational, administrative, and compliance functions of a residency training program while ensuring adherence to accreditation standards and organizational policies.

Requirements

  • Knowledge of accreditation standards and program coordination practices
  • Strong organizational, analytical, and problem-solving skills
  • Ability to manage multiple priorities and work independently
  • Strong interpersonal and communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and database systems
  • Ability to handle confidential information with professionalism and discretion
  • Detail-oriented with strong project management capabilities

  • Experience with program or residency management systems preferred

Responsibilities

  • Provide administrative and operational support to the Program Director, including updates on workflow, projects, and program performance
  • Interpret and apply accreditation and organizational policies to maintain compliance
  • Serve as liaison between residents, faculty, administration, and external organizations
  • Coordinate resident recruitment, onboarding, orientation, and external rotations
  • Track and ensure compliance with licensing, credentialing, contracts, and regulatory requirements
  • Maintain and manage program databases and record-keeping systems
  • Oversee evaluation processes for residents, faculty, rotations, and overall program effectiveness
  • Develop and distribute schedules and program communications
  • Coordinate specialty exams and assist with proctoring as needed
  • Plan and execute program events including recruitment activities, orientations, graduations, and meetings
  • Manage purchasing of program supplies and equipment
  • Organize meetings, conferences, and lectures, including preparation of materials
  • Maintain program website and external communications such as brochures and publications
  • Administer residency recruitment processes, including application systems and Match coordination
  • Assist with visa processing in collaboration with Human Resources
  • Prepare documentation and support for accreditation reviews, site visits, and self-studies
  • Monitor duty hours and activity logs to ensure compliance with program standards
  • Respond to inquiries from applicants and residents, directing as appropriate
  • Perform additional duties as assigned by leadership
