About The Position

The Program Coordinator will report to the Director of Leadership and Social Impact and will play a key role in supporting the planning and effective implementation of the WomenLeaders India (WLI) Fellowship. The role supports a country-specific fellowship dedicated to advancing women’s leadership in India, with responsibilities spanning program coordination, participant support, administrative and logistical management, monitoring and evaluation, communications, and documentation. The Program Coordinator will work closely with the WomenLeaders India Fellowship teams in the United States, the program partner team in India, cross-functional Vital Voices teams, trainers, and participants to effectively serve women leaders in India and across the Vital Voices network. This position is based in Washington, D.C., with a hybrid work schedule. Remote candidates will not be considered at this time.

Requirements

  • Bachelor’s degree in international relations, international development, women’s and gender studies, public administration, nonprofit management, or a related field preferred; equivalent experience may be considered.
  • 2-4 years of relevant experience in program coordination, logistics, administrative support, international development, women’s leadership, nonprofit programming, or a related field.
  • Experience supporting program implementation, event coordination, participant communications, and stakeholder engagement in a mission-driven, nonprofit, philanthropic, or international context.
  • Demonstrated interest in global women’s issues, women’s leadership, women’s entrepreneurship, civil society, social impact, and/or advancing the United Nations Sustainable Development Goals.
  • Experience coordinating logistics for virtual and in-person programs, including travel, accommodations, ground transportation, scheduling, vendors, and program materials.
  • Familiarity with data collection, reporting, database updates, and basic budget or expense tracking.
  • Ability to prioritize tasks, swiftly shift priorities, and work in a fast-paced environment with tight deadlines, sometimes under difficult or challenging circumstances.
  • Flexible and adaptable to evolving program needs, travel schedules, and cross-time-zone coordination.
  • Demonstrated cultural sensitivity and self-awareness, with the ability to work respectfully with individuals from diverse backgrounds and contexts.
  • Strong computer skills including MS Office applications (esp. Excel, Word, and PowerPoint), social networking tools, and database software (i.e., Salesforce).

Nice To Haves

  • Experience in the South Asian region, especially India, is strongly preferred.
  • Hindi or other relevant Indian language skills preferred.

Responsibilities

  • Support the planning, coordination, and implementation of virtual and in-person WLI Fellowship activities, including convenings, workshops, webinars, meetings, and participant engagement touchpoints.
  • Assist with participant outreach, application management, selection logistics, applicant communications, and related documentation for WLI Fellowship cohorts.
  • Serve as a responsive point of contact for program participants, partners, trainers, and vendors; coordinate communications, reminders, materials, and follow-up to support a positive participant experience.
  • In partnership with our partner in India, coordinate staff, participant, and trainer logistics, including travel, accommodations, ground transportation, meeting schedules, vendor coordination, venue support, and event materials for India-based activities.
  • Maintain program records, meeting notes, timelines, action items, shared files, and process documentation; support the development of organizational tools, systems, and workflows for the WLI team.
  • Support day-to-day financial administration, including invoice processing, expense tracking, contract coordination, budget updates, and coordination with Finance to ensure compliance with internal procedures.
  • Support participant tracking, survey administration, data collection, Salesforce/Airtable updates, feedback synthesis, and reporting inputs to document progress, learning, and outcomes.
  • Draft, edit, and organize program materials, participant-facing resources, social media inputs, blogs, toolkits, and storytelling content in coordination with the Communications team.
  • Support the use of digital learning platforms, Vital Voices Community Hub, shared file systems, Salesforce, Airtable, virtual meeting tools, and online engagement spaces for participants and alumni.
  • Provide program data, activity updates, participant insights, and documentation to support donor reporting, stewardship, proposal development, and renewal efforts.
  • Work collaboratively with the Leadership and Social Impact team members, Finance, Development, Communications, and other internal teams to advance shared program objectives.
  • Provide support for department activities.
