About The Position

The DNP-NA Program Coordinator Senior provides administrative and operational support to the Program Director, the Associate Program Director, and the clinical practicum faculty of the Doctor of Nursing Practice – Nurse Anesthesia concentration. The position carries concentration accreditation documentation, credential and compliance verification, clinical placement logistics, governance recording, evaluation administration, and program educational records functions, directing faculty capacity to instruction, evaluation, and mentorship. The role requires deep experience in healthcare operations, provider relations, and academic program development, strong organizational skills, familiarity with accreditation processes, and the ability to engage confidently with clinical partners, faculty, and institutional leadership.

Requirements

  • Bachelor's degree and five (5) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Deep experience in healthcare operations, provider relations, and academic program development.
  • Strong organizational skills.
  • Familiarity with accreditation processes.
  • Ability to engage confidently with clinical partners, faculty, and institutional leadership.
  • Proficiency with Microsoft 365 (Planner, To Do, Teams, Word, Excel).
  • Ability to clearly communicate to perform essential functions.

Responsibilities

  • Assist in compiling, formatting, and submitting documentation required by the Council on Accreditation (COA).
  • Track deadlines and deliverables across the COA timeline and internal university approvals.
  • Maintain organized records of correspondence, submissions, and approvals.
  • Maintain and update the master project timeline and task tracker.
  • Follow up with internal and external stakeholders on assigned tasks.
  • Help anticipate bottlenecks and flag risks to the Program Director.
  • Serve as the primary contact for the program, handling phone calls, emails, and correspondence.
  • Coordinate meetings, prepare agendas, and take notes for follow-up.
  • Coordinate clinical placement logistics and rotation scheduling in support of the Program Director, Associate Program Director, and clinical practicum faculty.
  • Coordinate with clinical practicum faculty on approved nurse anesthesia resident discretionary days off, communicate approved days to the Clinical Coordinator at each affected site, and record each use in the clinical tracking platform.
  • Support onboarding of faculty and clinical partners, including completion tracking for the concentration-specific faculty orientation.
  • Assist with document preparation (e.g., affiliation agreements, faculty matrices, simulation documentation).
  • Support and supervise student employees.
  • Maintain the faculty credential calendar recording licensure and NBCRNA certification cycle dates for all concentration faculty.
  • Run primary source credential verification at hire through Nursys and the NBCRNA public verification portal, annually each January, and whenever an expiration falls within 90 days, reporting any lapse or restriction to the Program Director immediately.
  • Maintain the credential file for each appointed clinical site Clinical Coordinator — curriculum vitae, licensure and certification verification, and appointment documentation — under the oversight of the Program Director.
  • Monitor nurse anesthesia resident health, immunization, and certification compliance documentation — including ACLS and PALS certification currency — in the college's designated compliance tracking platform.
  • Notify the Program Director and clinical practicum faculty of approaching expirations or compliance lapses.
  • Maintain compliance verification records in student program files.
  • Confirm the credential and compliance items of the Pre-Clinical Readiness Verification from the compliance tracking system ahead of each nurse anesthesia resident's Gate 1 determination.
  • Serves as the program's designated records custodian for program-level educational records not maintained in institutional systems — including clinical site orientation documentation, faculty mentorship and academic advising records, professional development milestones, remediation documentation, and progression and dismissal decisions — under the oversight of the Program Director.
  • Maintains these records so they remain complete, accurate, and current, and escalate any gaps or discrepancies to the Program Director.
  • Coordinates with faculty to ensure documentation generated in connection with their assigned educational responsibilities (e.g., mentorship, academic advising) is captured in the official program educational record.
  • Serves as custodian of record for the Competency Passport, with access limited to program faculty holding an assessment or mentorship role, the Program Director, and the nurse anesthesia resident.
  • Administers the concentration clinical tracking platform, including nurse anesthesia resident clinical attendance and discretionary time-off records maintained with clinical practicum faculty.
  • Apply the program’s record retention requirements, retaining student records until passage of the National Certification Examination and indefinitely where required, and archiving superseded records with version and date.
  • Serve as Recorder for the Nurse Anesthesia Executive Advisory Committee (NAEAC), the Joint Curriculum Advisory Committee (JCAC), and the Recruitment and Admission Committee (RAC), preparing agendas at the Chair's direction, circulating pre-read materials at least ten business days before each meeting, recording and circulating minutes, and maintaining each committee's records.
  • Maintain committee rosters and charters, collect confidentiality and FERPA acknowledgments from committee members, and archive superseded rosters and charters with version and date.
  • Distribute the Clinical Site Evaluation, Preceptor Teaching Effectiveness Evaluation, Clinical Partner Feedback Survey, Alumni Survey, and Employer Survey on their scheduled cycles, track completion, and follow up with non-respondents.
  • Maintain alumni contact information in program records for post-graduation survey administration.
  • Serve as a liaison with internal departments (e.g., legal, HR, IT, simulation center).
  • Communicate with clinical partners and external vendors as needed.
  • Draft and edit communications, reports, and summaries for stakeholders.
  • Supervise Staff and/or students.
  • Work both independently and within a complex structured team.
  • Use office equipment.
  • Schedule appointments and maintain calendar for projects.
  • Other duties as assigned.
