About The Position

Phipps Houses and Affiliates is seeking a Program Coordinator for Sectoral Programs in the Bronx, NY. This full-time role involves managing overall program performance, developing efficient systems, analyzing trends for growth, and ensuring programs meet contractual and compliance standards. The coordinator will also support staff, oversee participant services and retention, manage data and compliance, and coordinate various program operations and events. This position requires strong organizational and communication skills, proficiency in relevant software, and a minimum of a High School Diploma/HSE with an Associate's Degree preferred. The pay rate is $50,000 - $52,000 annually.

Requirements

  • Minimum of an HSD/HSE (High School Diploma/Equivalency)
  • At least 2 years of experience in program coordination, workforce development, education, or related administrative roles.
  • Strong organizational skills with proven ability to manage multiple tasks, prioritize by tier (compliance/data > intake/events > admin), and meet deadlines.
  • Proficiency in Salesforce, Microsoft Office Suite, and Google Workspace.
  • Excellent written and verbal communication skills.

Responsibilities

  • Manage overall program performance related to enrollment, attendance, engagement, credential attainment, job placement, retention, and other required outcomes.
  • Develop and implement systems, workflows, and operational procedures that improve efficiency, compliance, and participant experience.
  • Analyze program performance, labor market trends, and participant outcomes to identify opportunities for program growth and improvement.
  • Ensure programs consistently meet contractual deliverables, compliance standards, and performance benchmarks.
  • Prepare and submit program reports, corrective action plans, and performance updates for leadership and funders as required.
  • Serve as the first point of contact with partners.
  • Coordinate with and support Case Managers, Retention Coordinators, Outcomes Specialists, Employer Engagement, facilitators, interns, and administrative staff to ensure that participants and program needs are being met.
  • Provide ongoing observation and feedback, oversight and performance management to strengthen staff effectiveness and professional development.
  • Ensure staff utilize client-centered, trauma-informed, and participant-focused approaches to service delivery.
  • Participate in regular team meetings, case conferences, and workflow coordination across departments.
  • Oversee participant engagement, retention, and supportive service strategies to improve program completion and employment outcomes.
  • Ensure participants receive appropriate wrap-around services, referrals, incentives, stipends, transportation assistance, and other allowable supports.
  • Oversee post-placement retention services, employer follow-up, alumni engagement, and milestone tracking.
  • Support intervention planning for participants experiencing barriers to engagement, training completion, or employment retention.
  • Ensure staff maintain regular communication with participants and employers to support successful outcomes.
  • Monitor program data and documentation to ensure compliance with WIOA, DYCD, and other funder requirements.
  • Conduct regular audits of participant files, case notes, retention documentation, and database records to ensure accuracy and compliance readiness.
  • Utilize Salesforce, SharePoint, and internal tracking systems to monitor participant activity, program performance, and outcome benchmarks.
  • Ensure timely and accurate data entry, reporting, and submission of required documentation including participant medicals.
  • Complete, review and submit incident reports within 48 hours of occurrence.
  • Oversee coordination of recruitment, orientations, professional development, workshops, graduations/culminating events, hiring events, alumni activities, and employer engagement events.
  • Collaborate with Outreach, Employer Engagement, Case Management, Retention, and Operations teams to ensure alignment of program goals and services.
  • Support recruitment, intake, and enrollment efforts to ensure programs meet contractual participation targets.
  • Build and maintain partnerships with employers, training providers, community organizations, and social service agencies to expand participant opportunities and resources.
  • Conduct bi-weekly or monthly meetings with program partners.
  • Facilitate internship placements in collaboration with Employer Engagement and Case Management.
  • Complete site visits to program and internships sites as needed.
  • Perform other administrative and program support duties as assigned.
