About The Position

The Program Coordinator I, under general supervision, coordinates the planning, development and implementation of assigned program. The J. Mike Walker '66 Department of Mechanical Engineering at Texas A&M University is a national and international leader in mechanical engineering education. Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of related experience.

Nice To Haves

  • Experience with processing travel reimbursements on Concur.
  • Experience with monitoring research grant accounts on FAMIS/Maestro.
  • Experience with planning workshops and conferences and hosting prominent visitors.
  • Experience with compiling reports for federal sponsors.

Responsibilities

  • Plans and implements program events such as conferences, seminars, lectures, meetings and workshops.
  • May assist in preparation and monitoring of budgets for programs and events.
  • Responds to inquiries regarding program offerings.
  • Coordinates program communications and marketing.
  • Compiles program statistics.
  • May assists in identifying funding opportunities.
  • Plans and implements programs and assists in their evaluation.
  • May supervise program staff.
  • Manages the office and serves as a primary information resource on office support methods and processes.
  • Provides confidential secretarial and administrative support that may include managing the schedule/calendar, assisting with scheduling meetings, screening and handling telephone communications, and greeting and directing visitors.
  • Serves as primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues.
  • Gathers, enters, and/or updates data to maintain departmental records and databases.
  • Establishes and maintains files and records for the office.
  • Monitors and coordinates accounting activities as appropriate and assists in preparation of internal reports for management.
  • Assists in the preparation of equipment inventory and other reports required by the university.
  • Responsible for office organization.
  • Maintains office supplies and equipment.
  • Deals with administrative problems and inquiries from research directors and research group members as appropriate.
  • Creates and maintains databases necessary to track all administrative files and records.
  • May develop and update training materials and deliver training sessions.
  • Maintains program records and databases.
  • Performs other duties as assigned.
