About The Position

The University of Illinois Springfield (UIS) invites applications for a Program Coordinator to administer the efficient operation of the Graduate Assistantship Office and Graduate Assistantship Program. This role will provide leadership for graduate education projects and initiatives, oversee the Office of the Vice Provost and Director of Graduate Education, and coordinate Graduate Assistant (GA) professional development programming. Responsibilities require exercising critical thinking, acting with discretion, and making independent judgments.

Requirements

  • Bachelor’s degree.
  • A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
  • A total of one (1) year (12 months) in education, training, and/or work experience in administration (responsibility for day-to-day operation/oversight/coordination of a unit, program, system, process, or function).
  • Two (2) additional years (24 months) of work experience in areas related to the responsibilities of the position, such as higher education, human resources, or program coordination.
  • An additional one (1) years (12 months) of work experience that included the use of electronic tracking, reporting, transaction processing, decision support, or form generation systems.
  • Ability to recognize confidential communications, records, and documents and to exercise sound judgment in safeguarding sensitive information in accordance with applicable policies and expectations.
  • Professional demeanor that enables effective communication and relationship building across a diverse group of stakeholders, including administrators, faculty, staff, and students.
  • Awareness of accessibility compliance requirements for events, communications, and materials.
  • Proficiency with Microsoft 365 (or similar software), including the ability to learn new systems quickly and use them to gather information and run reports (e.g., Banner or similar information systems).
  • Skill in analyzing information, exercising judgment, and evaluating options to choose appropriate solutions and resolve problems.
  • Skill in planning and coordinating schedules, events, programs, and activities, including setting goals and priorities to organize and accomplish work.
  • Ability to develop and improve guidelines, procedures, and administrative systems.
  • Ability to plan, delegate, and supervise the work of others, including coordinating people and resources to meet objectives.
  • Knowledge of business and management principles involved in strategic planning and resource allocation.

Responsibilities

  • Administers UIS Graduate Assistantship Office and Graduate Assistantship Program – Oversees application, search, appointment, hiring, and evaluation processes for graduate assistants.
  • Promotes Graduate Assistantship opportunities to faculty, current students, and potential students, in coordination with Enrollment and Retention Management.
  • Facilitates problem-solving and conflict resolution between supervisors and graduate assistants.
  • Maintains working knowledge of the GA Collective Bargaining Agreement and consults with Labor Relations as necessary.
  • Project/initiative/information management – Provides leadership for and/or coordinates graduate education academic, curricular, and administrative projects; ensures completion within established timelines.
  • Serves as point of contact for System Office and other requests for graduate education information.
  • Oversees the Office of the Vice Provost and Director of Graduate Education – Resource management: Assists with planning and deployment of human and budget resources.
  • Supervision: Supervises Office of Graduate Education student worker(s), including selecting, hiring, training, work assignments, and evaluation.
  • Record management: Implements U of I Record and Information Management Services (RIMS) policies and retention schedules; develops an organizational structure and naming protocols for digital record management.
  • Web content: Maintains Graduate Education and Graduate Assistantship websites; delegates editing responsibilities when appropriate.
  • Develops/Coordinates GA professional development programming – Collaborates with GAs and supervisors to identify areas where professional development may be needed.
  • Identifies subject matter experts to offer professional development workshops.
  • Facilitates logistical arrangements for professional development activities.
  • Gathers and analyzes feedback to inform future programming.
