About The Position

The Program Coordinator will assist in maintaining the daily operation and oversight of the Department, including a portfolio of classes and workshops. The Program Coordinator will oversee event logistics and administration, including liaising with presenters, collaborating with internal departments and providing support on the day of programs, ensuring the success of all events and providing a positive experience for patrons and instructors. The Program Coordinator will uphold a commitment to providing excellent customer service and ensure an exemplary student and instructor experience.

Requirements

  • Bachelor degree within the humanities fields or comparable work experience required.
  • At least two years’ administrative experience required.
  • Strong proficiency with Microsoft Office and database management required.
  • Ability to work independently as well as part of a team, with keen attention to detail and proven efficient time management skills.
  • Ability to organize, prioritize, and execute responsibilities while managing conflicting priorities and deadlines.
  • Strong, effective, and diplomatic oral and written communication skills, accompanied by an eye for detail, is a must.
  • Candidates must be service-oriented and able to interact effectively with a broad range of people.

Responsibilities

  • Oversee the daily operations of the Department including class schedules, student registration, instructor correspondence, monitoring in-person and online classroom set-ups and other general programming support as needed, ensuring the success of all events and maintaining a high level of customer satisfaction.
  • Communicate with faculty and speakers with regard to program logistics, space requirements, format and scheduling to ensure proper room and equipment set ups.
  • Organize the production of course calendars, web listings, Zoom meeting rooms, and monitor online evening and weekend classes as needed (3-5 sessions per month).
  • Manage payroll submissions, contracts with instructors and speakers, and departmental invoicing.
  • Manage supplies, equipment, and ordering requests.
  • Assist with the creation, editing, and tracking of seasonal event calendars ensure the website and marketing materials are accurate, current and up to date.
  • Assist with copy writing and proof-reading for promotional materials.
  • Review promotional materials for accuracy.
  • Work with Marketing, Creative, and Web teams to produce and proof content.
  • Interface with patron inquiries with regards to events - promptly and courteously receiving, handling and responding to inquiries.
  • Disseminate class evaluations and solicit patron feedback, as required.
  • Act as primary liaison with Sales and Customer Care to ensure inquiries are addressed in a professional manner, appropriate actions are taken, and information is shared with the appropriate stakeholder(s) in a timely fashion.
  • Streamline internal administrative processes, as necessary, to ensure student and instructor efficiency and satisfaction.
  • Assist the Associate Director of Continuing Education with evaluating current programming activities and developing new initiatives.
  • Perform other related duties as requested or assigned.
