About The Position

St. Anne's Family Services is dedicated to transforming lives and communities by providing unwavering support to families, from pregnancy to parenthood and childhood to adulthood. The organization aims to break cycles of poverty and ensure families stay together. The Program Assistant will be a vital part of this mission, supporting the teams in their life-changing work. This role is situated within the Residential Treatment Program (STRTP), which offers services to pregnant, parenting, and at-risk young women (and their children) aged 13-18 who are involved with the foster care and/or juvenile justice system, typically placed by the Los Angeles County Department of Children and Family Services (DCFS) or Probation Department. The Program Assistant's primary responsibilities include greeting residents and visitors, ensuring only authorized individuals access the Residential area, managing phone calls by answering and forwarding them or taking messages, checking out vehicles to staff, tracking electronic data, and filing. The individual must be flexible and prepared to cover other departments as needed.

Requirements

  • A minimum of a High school diploma.
  • Experience with Microsoft Office, Excel, Outlook.
  • Must have great customer service skills and a warm and friendly personality.

Nice To Haves

  • Experience working a receptionist position, preferred.
  • Bilingual in Spanish, preferred.

Responsibilities

  • Maintain a pleasant environment in the badge door area for the residents, staff of visitors of St. Anne’s.
  • Ensure proper sign in and out of residents’ community passes.
  • Announce the evacuation of the building during fire alarms and direct emergency personnel in the event of a facility or individual emergency.
  • Ensure only authorized residents, staff or guests move beyond the badge door.
  • Fill in and answer the main switchboard phone and transfer calls to appropriate parties.
  • Keep the Residential check-in area organized and presentable.
  • Report items in the visiting rooms requiring cleaning or maintenance to appropriate person.
  • Be familiar with fire panel, conducting fire drills and evacuating building.
  • Actively direct emergency personnel in the event of a facility or individual emergency.
  • As part of a multi-disciplinary team, maintain a structured residential program for residents through the administration of discipline and setting limits for behavior.
  • Maintain confidentiality as required by St. Anne’s, licensing, HIPPA, and other regulatory agencies.
