About The Position

The Program Assistant provides comprehensive administrative and programmatic support to department leaders, faculty, and staff within Hollings Cancer Center (HCC) at the Medical University of South Carolina (MUSC), specifically supporting the Clinical and Data Analytics Lab (CADSLab). This role supports the coordination and day-to-day operations of federally funded research programs, including projects supported by the National Cancer Institute and the National Library of Medicine, with a focus on cancer prevention, treatment, and survivorship. Responsibilities include supporting program operations, coordinating communications with research stakeholders and patients, managing schedules and logistics, and assisting with financial and administrative processes. The position requires a highly organized and detail-oriented individual who can manage multiple priorities in a fast-paced academic research environment while contributing to the successful execution of program and research objectives.

Requirements

  • A high school diploma and two years relevant program experience.
  • A bachelor's degree may be substituted for the required program experience.
  • Strong computer skills, including proficiency in Microsoft Office and experience with Electronic Medical Record (EMR) systems.
  • Excellent communication and interpersonal skills, with the ability to engage professionally with patients, faculty, and external stakeholders.
  • Strong organizational and time management skills, with the ability to prioritize and manage multiple projects simultaneously.

Nice To Haves

  • Bachelor’s degree in public health sciences, Business Administration, Healthcare Administration, or a related field.
  • 1–2 years of administrative or program support experience, preferably in public health, healthcare, or academic research settings.

Responsibilities

  • Provide administrative and program support to leaders and research staff, including managing calendars, coordinating meetings, handling correspondence, and serving as a point of contact for internal and external stakeholders. Support day-to-day program operations by maintaining organized systems and ensuring timely communication.
  • Support program leadership with operational and research-related administrative needs, including coordinating travel, preparing and editing documents (e.g., reports, presentations, biosketches), and assisting with expense tracking, reimbursements, and invoice processing in accordance with institutional and grant guidelines.
  • Facilitate coordination of program activities by serving as a liaison across departments, research teams, and external partners. Ensure effective communication, support workflow management, and assist with tracking program deliverables and timelines.
  • Coordinate scheduling and logistics for program-related activities, including meetings, events, and research-related engagements. Assist with calendar management, meeting preparation, and logistical support for program initiatives and special projects.
  • Support financial and administrative aspects of program operations, including maintaining records, assisting with budget tracking and reporting, and ensuring compliance with institutional policies, grant requirements, and confidentiality standards.
  • Contribute to continuous improvement of program and administrative processes. Support special projects and initiatives, maintain a professional and collaborative work environment, and perform additional duties as assigned to support program and departmental goals.
