About The Position

Volunteers of America, Utah (VOA Utah) is seeking a Program Assistant to provide essential administrative and operational support to the PREP (Prevention and Recovery from Early Psychosis) team. The PREP team offers community-based mental health services for young people (ages 13-26) experiencing or at high risk for psychosis. The Program Assistant will help ensure client records, team information, supplies, and data are organized, accurate, and accessible, supporting efficient team operations and timely client services. This role requires working closely with clinical and program staff in an office environment, with most work performed in the community.

Requirements

  • High school diploma or equivalent required.
  • 2 years of clerical experience or any combination of education, experience, and training which provides the following knowledge, skills, and abilities.
  • Office experience with demonstrated organizational skill.
  • Strong attention to detail and commitment to accuracy in work.
  • Able to communicate effectively and respectfully with staff and clients.
  • Able to work within a collaborative team environment.
  • Computer literate with intermediate Microsoft Office skills.
  • Able to uphold professional boundaries, confidentiality regulations, agency policies and procedures, and interact in a professional manner with a diverse workforce, clients, and the public.
  • Willing to accept supervision and direction.
  • Become CPR and First Aid Certified.
  • Must be at least 21 years of age.
  • Possess a current driver’s license.
  • Have a good driving record.
  • Be insurable on the agency liability policy.
  • Must be able to pass Utah-DHS – Office of Licensing background screening and pre-employment drug screen.

Nice To Haves

  • Basic graphic design skills preferred.
  • Experience in a mental health setting preferred.

Responsibilities

  • Provide general administrative and clerical support to clinical and medical staff, including opening and closing clients in EHR, creating and archiving paper files, entering and tracking assessment data and medication delivery records, maintaining digital files, managing office/intervention supply inventory, assisting with scheduling, document preparation, scanning, filing, data entry, event planning, and special projects.
  • Maintain professional boundaries and client confidentiality at all times.
  • Attend work on a regular and predictable basis.
  • Coordinate care with existing internal and external providers at the point of admission, discharge, and level of care changes, including document preparation, coordination phone calls, and documentation of communication.
  • Maintain records according to requirements, completing all documentation in a timely manner and in compliance with professional standards.
  • Perform other functions as necessary or assigned.
