About The Position

The World Bank Group is seeking a motivated and proactive Program Assistant for the Office of the Executive Director Bahrain, Egypt, Iraq, Jordan, Kuwait, Lebanon, Maldives, Oman, Qatar, United Arab Emirates, and Yemen (EDS11). This office represents the interests of 189 member countries and oversees the operations of the International Bank for Reconstruction and Development (IBRD), the International Development Association (IDA), the International Finance Corporation (IFC), the Multilateral Investment Guarantee Agency (MIGA), and the International Centre for Settlement of Investment Disputes (ICSID). The Program Assistant will provide high-quality administrative support to the office staff, interacting with various internal and external stakeholders including Senior Bank Management, government ministries, embassies, and high-level officials. The role requires working in a fast-paced environment and ensuring the smooth operation of the office.

Requirements

  • High school diploma and a minimum of 5 years of relevant experience, or an equivalent combination of education and experience.
  • Excellent office support and organizational skills, including being proactive and demonstrated ability to prioritize and deliver assignments in a timely manner, often under time pressure.
  • Excellent command of written and spoken English and Arabic, including the ability to independently draft formal and informal correspondence, and proofread/edit materials.
  • Interpersonal and diplomacy skills, including demonstrated ability to work in a team-oriented and multi-cultural environment.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Ability to deal tactfully and diplomatically with high-level government officials.
  • Demonstrated ability to function under time pressure and handle multiple tasks in a fast-paced environment with changing priorities.
  • Proactive attitude, self-starter, and a team player with the ability to work with staff at all levels.
  • Advanced working skills in multiple computer software applications (e.g., Microsoft Office, Outlook, Webex, Teams, SAP/Admin Portal).
  • Willingness and flexibility to work overtime, including weekends, if required.
  • Advanced proficiency of latest technology relevant to assigned responsibilities.
  • Ability to organize and implement tasks, demonstrating ownership and accountability for results.
  • Up-to-date knowledge of administrative and policy guidelines, practices, products, and services.
  • Ability to anticipate, facilitate, and catalyze change, and assess the need for new skills and knowledge.

Responsibilities

  • Provide the full range of office/administrative support to the Executive Director’s office, including managing priorities and workflow for the Alternate Executive Director, Senior Advisors, and Advisors.
  • Prepare, process, and handle sensitive and confidential information and data.
  • Schedule appointments and coordinate mission travels, resolving conflicts and prioritizing correspondence.
  • Format and type documents, statements, and correspondence.
  • Respond independently to external/internal inquiries and requests by drafting and formatting correspondence.
  • Ensure meeting files and background materials are available in a timely manner.
  • Provide general research support on diverse topics.
  • Maintain and update contact lists and the filing system.
  • Prioritize and channel calls and emails, and follow up on issues.
  • Assist in managing a roster of common service tasks and coordinating timely delivery of products.
  • Perform ad hoc duties, including back-up to other Program Assistants.
  • Assist in official events and seminars, especially during the World Bank/IMF Annual and Spring Meetings.
  • Accompany the office team to the Annual Meetings when held in member countries (once in three years) as needed.
  • Provide administrative and logistical support to team members and delegations from constituency countries.
