About The Position

The PREP (Prevention and Recovery from Early Psychosis) program is a community-based coordinated specialty care team that offers mental health services to young people aged 13-26 who have recently experienced a first episode of psychosis or are at high risk for developing psychosis. The team supports clients and their families, and conducts community education on early psychosis. The PREP team comprises medical prescribers, clinical therapists, case management, occupational therapy, peer support, and supported education/employment services. Most of the work is conducted in the community, serving over 50 clients. The Program Assistant provides crucial administrative and operational support to the PREP team, ensuring client records, team information, supplies, and program data are organized, accurate, current, and accessible. This role supports efficient team operations and timely, coordinated client services.

Requirements

  • High school diploma or equivalent required.
  • 2 years of clerical experience or any combination of education, experience, and training that provides the required knowledge, skills, and abilities.
  • Office experience with demonstrated organizational skills.
  • Strong attention to detail and commitment to accuracy.
  • Effective and respectful communication skills with staff and clients.
  • Ability to work within a collaborative team environment.
  • Computer literate with intermediate Microsoft Office skills.
  • Ability to uphold professional boundaries, confidentiality regulations, agency policies and procedures.
  • Ability to interact professionally with a diverse workforce, clients, and the public.
  • Willingness to accept supervision and direction.
  • Must be able to pass Utah-DHS – Office of Licensing background screening and pre-employment drug screen.
  • Become CPR and First Aid Certified.

Nice To Haves

  • Basic graphic design skills preferred.
  • Experience in a mental health setting preferred.
  • Must be at least 21 years of age, possess a current driver’s license, have a good driving record, and be insurable on the agency liability policy.

Responsibilities

  • Provide general administrative and clerical support to clinical and medical staff, including client record management in EHR, file creation and archiving, data entry and tracking for assessments and medication delivery, maintaining digital files, managing office supply inventory, assisting with scheduling, document preparation, scanning, filing, data entry, event planning, and special projects.
  • Maintain professional boundaries and client confidentiality at all times.
  • Attend work on a regular and predictable basis.
  • Coordinate care with internal and external providers during client admission, discharge, and level of care changes, which involves document preparation, coordination calls, and communication documentation.
  • Maintain records according to requirements, ensuring timely and compliant documentation.
  • Perform other functions as necessary or assigned.
