About The Position

Wayfinder’s Family Finding program searches exhaustively for relatives or people close to children in foster care so they can establish supportive connections. Family finding specialists contact relatives to see if they are interested in phone calls or visits with children in care. Family may not know how to search for the child or even that the child is in foster care. Our specialists coordinate contacts for children and these relatives to build trust and connections so the youth will have a network of caring adults to rely on when they leave foster care. The primary focus on the Program Assistant is to provide administrative support to the program and be responsible for record management services focusing primarily on data entry and maintenance, preparing data for reports, and creating and updating relative contact logs and family builds. This position provides various administrative, and staff support services at the program level.

Requirements

  • At a minimum, a high school diploma is required.
  • Valid California Driver’s License with a minimum of three (3) years of good driving history and must be approved by the agency’s insurance carrier to drive agency vehicles.

Nice To Haves

  • A bachelor’s degree is preferred.
  • Program-related support experience is preferred.
  • Experience with the dynamics of kinship, foster and adoptive families, and special needs children preferred.
  • Experience in office support work, including live scanning, records, and data familiarity, is preferred.

Responsibilities

  • Greets visitors, takes telephone calls, and refers visitors and callers to appropriate staff or offices.
  • Provides general information concerning the organization's rules, procedures, policies, and philosophy.
  • Support the office administrative team with tasks as needed to ensure the smooth operation of the office, including but not limited to ordering supplies, operating a variety of standard office machinery, and maintaining inventory of office supplies, books, food, and beverages.
  • Updates and maintains client information in the required database(s).
  • Accounts for various documents for tracking purposes, telephone inquiries, training events, purchasing/returns, and generates reports as necessary.
  • Takes initial phone inquiries from clients, referral sources, or program partners.
  • Other duties as outlined in the position description.
