About The Position

This role is responsible for a variety of administrative and clerical duties to support the treatment program. Key functions include managing office operations, handling telephone calls and visitors, maintaining confidentiality, processing mail, and ensuring office equipment is in working order. The position also involves assisting with data collection, maintaining health records, managing file storage, processing record releases, and utilizing various computer programs for electronic health records and other agency functions.

Requirements

  • High School diploma or equivalent required.
  • Must possess strong organizational and accuracy skills.
  • Strong computer skills, including Microsoft Word, Microsoft Excel.
  • Willingness to learn CareLogic and ORION required.
  • Must have the cognitive skills needed to complete tasks, including abilities such as learning, remembering, focusing, categorizing, and integrating information for decision making, problem solving, and comprehending.
  • Has the ability to perform under stress and/or in emergencies.
  • Must have the ability to effectively work with Agency employees, outside contacts, and a diverse client population.
  • Candidates must be eligible to work in the U.S. without requiring sponsorship.

Responsibilities

  • Answer telephone calls and greet/direct visitors courteously.
  • Permit only authorized visitors beyond the reception area and notify supervisor of unauthorized visitors.
  • Comply with all state and federal confidentiality regulations.
  • Receive, sort, and distribute mail accurately.
  • Maintain office equipment (copy machine, fax machine) in proper working order.
  • Maintain supply cabinet and closets in a neat and organized manner.
  • Assist with statistical data collection for assigned programs.
  • Help direct treatment staff for swift implementation of queries.
  • Maintain closed file storage accurately and organized according to Agency policies.
  • Inventory and update storage unit contents, forwarding inventory copies to the Assistant to Vice Presidents.
  • Ensure storage units are clean and orderly.
  • Assist with shredding documentation from file storage when instructed.
  • Send records release forms and follow up with outside requests for information.
  • Send Oriana House information to outside sources when directed by supervisor.
  • Maintain ability to type/use computer and all programs implemented by the Agency, including electronic health records.
