About The Position

The following duties are normal for this position. These are not to be construed as exclusive or all‑inclusive. Other duties may be required and assigned. Review, update and enter crash reports, citations, incident/offense and arrests reports into Records Management System and files in accordance with established procedures. Review and transmit crash reports and citations in the Traffic and Criminal Software (TraCS) system in accordance with established procedures. Receive, process and redact open records requests for department reports, squad video, body camera video and related documents to include billing and collection of fees. Receive, review and process legal documents for service, ensure documents are entered into computer and submit to Process Server for service. Complete certificate of service and collect appropriate fees. Receive, review and process legal papers for sheriff sales and attend weekly Sheriff Sale to record bids. Maintain criminal/ordinance court calendar. Generate monthly Wisconsin Incident Based Reporting Systems (WIBRS) report and submit to appropriate state agency. Maintain juvenile records and files, ensuring confidentiality in accordance with State Statutes and local directives. Receive and process requests for Deputy Reserve Officers, and prepare related billing and payroll documents. Proper cash/check handling procedures. Cash and checks need to be secured in the cash register or workstation overhead when leaving work area for lengthy period of time Ensures adequate office coverage during business hours. Answers telephones, provide counter assistance to the public; deliver paperwork to other county departments. Compose routine correspondence, type letters and memorandums. Complete special projects and assignments when requested. Perform other related duties as assigned.

Requirements

  • Graduation from high school or the equivalent.
  • Technical course work in typing, computer operation, office machines and office management.
  • Two (2) years of responsible office experience involving advanced secretarial skills.
  • Knowledge of modern office practices, procedure, and equipment, including computers.
  • Knowledge of Sheriff’s Office policies and procedures.
  • Knowledge of business English.
  • Knowledge of basic mathematics sufficient to balance receipts and perform related calculations.
  • Knowledge of bookkeeping practices and procedures.
  • Knowledge of state laws pertaining to civil process function.
  • Skill in communicating orally with supervisors and fellow employees.
  • Ability to type accurately 40‑50 words per minute, transcribe dictations, maintain accurate and complete records.
  • Plan and organize work activities
  • Ability to interact efficiently with the office of the courts and provide information in a professional manner.
  • Ability to use a computer to establish electronic files and records.
  • Ability to maintain confidential information and documents.
  • Ability to understand oral instructions and directions.
  • Ability to complete routine reports and forms.
  • Ability to interact with the public and provide information in a polite and efficient manner, both in person and on the telephone.
  • Ability to operate basic office equipment including a multi-line telephone system, computers, fax machines, copiers, etc.
  • Ability to work independently, without close supervision.
  • Ability to enter data in a computer in order to generate permits, letters, and other documents.

Nice To Haves

  • Prior experience/training in the use of Microsoft Office Products – Word and Excel is desired and preferred.
