About The Position

USU Extension in Salt Lake County is seeking a qualified Program Assistant I to support Project CREST, a school-based initiative designed to strengthen family engagement, enhance school-family partnerships, and build resilience among students and families. This position provides routine programmatic, administrative, marketing, educational, and logistical support for the Project CREST team. Under the direction of a program coordinator, the Program Assistant I assists with event logistics, prepares program materials, supports marketing outreach, handles basic recordkeeping, and other school and family events. The successful candidate will demonstrate strong organizational, communication, customer-service, and problem-solving skills. The position requires the ability to manage multiple deadlines, coordinate activities across participating schools, work collaboratively with Project CREST coordinators and coaches, and maintain accurate records and materials. This position works in the USU Extension Salt Lake County office and at participating schools and community locations throughout Salt Lake County. Some evening work will be required to support Project CREST workshops, trainings, and family events. This is a grant-funded position, and continued employment is contingent upon the availability of grant funding.

Requirements

  • Demonstrated aptitude for administrative support, organization, and program assistance.
  • Experience ordering, organizing, preparing, and tracking supplies or program materials.
  • Willingness to work some evenings.
  • Spanish language proficiency.
  • Experience using standard office software, including word-processing, presentation, spreadsheet, email, and calendar applications.
  • Ability to create, format, edit, and organize written and visual materials.
  • Organizational skills and ability to complete and assist with multiple assignments, deadlines, and event details.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to work collaboratively with employees, school personnel, families, vendors, and community partners.

Nice To Haves

  • Associate Degree degree in communications, marketing, business, education, family and human development, social work, public health, or a related field
  • Ability to assist with multiple events, activities, or program deadlines simultaneously.
  • Ability to assist with event and meeting logistics, including supporting employee trainings, group meetings, or professional development sessions.
  • Basic proficiency with spreadsheets and databases to support budget tracking, recordkeeping, program participation, or inventory logs.
  • Knowledge of basic purchasing procedures and inventory control, with the ability to compile receipts, process expense documentation, and track program supplies.
  • Ability to format, edit, and organize written and visual materials—such as flyers, handouts, presentations, newsletters, or social media content—following established branding guidelines and templates.
  • Skilled in using digital design tools (such as Canva or similar content development software) to produce clear promotional and educational materials.
  • Basic familiarity with digital communications tools, including the ability to assist with routine website updates and scheduled social media posts.
  • Knowledge of or familiarity with community-based environments, such as K-12 schools, youth programs, prevention initiatives, or family engagement organizations.
  • Ability to assist with or facilitate pre-approved educational lessons and interactive activities for youth.
  • Strong interpersonal and intercultural communication skills, with the ability to engage positively with students, families, and community members from diverse backgrounds.

Responsibilities

  • Assist with event logistics for Project CREST workshops, trainings, evidence-based programs, family events, and other project activities across participating schools by communicating with schools, Project CREST staff, vendors, and community partners to confirm schedules, locations, staffing, attendance needs, and other event details.
  • Distribute event assignments, schedules and reminders to facilitators and employees.
  • Help order food, supplies, equipment, printed materials, and other resources needed for Project CREST activities.
  • Assist with onsite event preparation, setup, implementation, and cleanup as needed.
  • Assist coordinators and coaches with trainings, meetings, and professional development activities.
  • Prepare, organize, inventory, and distribute lesson materials, activity supplies, handouts, and other program resources.
  • Assist with preparing and maintaining educational and training materials, including presentations, facilitator notes, parent handouts, lesson resources, website content, and program emails.
  • Follow established processes for Project CREST promotional materials, including flyers, social media content, posters, stickers, and outreach materials for use by staff, schools, families, and community partners using established university and project branding guidelines.
  • Assist with or deliver pre-approved educational lessons and activities to youth.
  • Provide administrative support, including routine data entry, processing receipt submissions, filing purchasing documentation, scheduling meetings, and maintaining program files.
  • Perform other job-related duties consistent with the Program Assistant I classification and Project CREST objectives.

Benefits

  • Minimum salary of $39,970, commensurate with experience.
