About The Position

United Way of Massachusetts Bay is seeking a temporary Program Assistant to provide coordination and administrative support for several programs within its Community Impact division. This role primarily supports the Board Connection initiative, while also assisting program leaders in areas such as Scaling Safe and Stable Housing, Building Economic Mobility, and Centering Youth and Young Adult Success. The ideal candidate will be passionate about supporting nonprofit partnerships and community engagement, utilizing strong communication, organization, and project management skills. This individual should be detail-oriented, a systems thinker, capable of building internal trust, and effective in managing projects.

Requirements

  • 2+ year(s) experience working in a related Human Services field.
  • Strong organizational skills and attention to detail and accuracy.
  • Experience in virtual and in-person facilitation including technical proficiency.
  • Advanced familiarity with Zoom meeting management (breakouts, polls, live troubleshooting, back-end logistics).
  • Experience and ease in learning and managing online course administration and team collaboration software.
  • Strong project management skills with the ability to take initiative, meet deadlines independently, and manage multiple projects.
  • Ability to communicate and present ideas with clarity.
  • Experience in data management, including data collection, basic calculations, and tracking spreadsheets for reporting purposes.
  • Hands-on proficiency with database systems (experience with Andar is a plus).
  • Utilizes a lens of equity, diversity, inclusion, and promotion of multi-cultural awareness in the development of strategies and visioning.
  • Commitment to the mission of United Way.
  • Access to a car and/or public transportation.
  • Willingness to work a flexible schedule, some evenings and weekends, and travel throughout United Way's region.
  • Ability to work a hybrid work schedule, experience working remotely.

Responsibilities

  • Support the planning, coordination, and execution of strategic initiatives including Board Connection, Marian L. Heard Scholars Program, Housing, and Economic Inclusion Ecosystem.
  • Ensure projects are aligned with organizational goals, implemented effectively, and delivered on schedule by working across departments and with external partners.
  • Assist with the virtual Fall training series for the Board Connection initiative, which prepares individuals for nonprofit board service.
  • Provide database and portal administration for the Board Connection initiative.
  • Offer live technical support for program training sessions and overall operations.
  • Gather and calculate program data for final reporting and outcome metrics for corporate sponsors.
  • Track attendance and create/issue certificates of completion for program participants.
  • Assist with the registration process and follow-up communications, including session calendar reminders.
  • Update course materials and assist participants with their profiles on the portal.
  • Manage the technical back end (breakout rooms, logistics) during live Zoom training sessions.
  • Act as the primary technical point of contact to troubleshoot issues during live Zoom sessions.
  • Coordinate the post-session delivery of recordings and slides, upload video assets to the portal, and send survey reminders.
  • Schedule and coordinate internal and external meetings, including planning agendas, preparing materials, tracking attendance, and conducting follow-up.
  • Serve as a notetaker during meetings and create/share note summaries.
  • Assist with student participant communication regarding resources and program fulfillment.
  • Facilitate BaseCamp communications and follow up.
