About The Position

Hudson Valley Community College (HVCC) is seeking experienced, dynamic, capable, creative, and caring individuals to join their team. This position is within the Engineering, Architecture, and Manufacturing (EAM) department. The role involves providing high-level clerical or paraprofessional assistance to students, faculty, and administration, communicating program-specific information, and supporting the Department Chair with administrative tasks such as data development for reports, budget preparation, and maintaining file structures. The successful candidate will also be responsible for developing and monitoring office protocols, assisting faculty with course materials, and utilizing office software for document creation. This is a provisional appointment, requiring the selected candidate to pass the next available Rensselaer County Civil Service Exam for Program Assistant Academics III to be considered for permanent appointment. Requirements

  • Associate’s degree from an accredited institution
  • 3 years of experience in an office or customer service setting
  • Must have been a legal resident of New York State for at least FOUR months immediately preceding the date of the test.
  • Must be either a U.S. Citizen or U.S. Lawful Permanent Resident of the United States.

Nice To Haves

  • One (1) year Permanent or Contingent Permanent competitive class status in the position of Program Assistant Academics II OR two (2) years Permanent or Contingent Permanent competitive class status in the position of Program Assistant Academics I at Hudson Valley Community College.

Responsibilities

  • Provides high level clerical or paraprofessional assistance to students, faculty and administration of an academic department or departments under the general supervision of the Department Chair or other academic supervisor.
  • Communicates directly with the professional community regarding program-specific information.
  • Communicate with prospective students regarding the admission process specific to the EAM dept.
  • Assists the Department Chair with data development and writing for annual reports and program reviews.
  • Assists the Department Chair with budget preparation, gathering and organizing data.
  • Devises and maintains complex file structures and data retrieval methods.
  • Produces routine and ad hoc reports from office file structures.
  • Develop and monitor office protocols and priorities for maximizing office productivity.
  • Develops and communicates information for faculty re: academic policies.
  • Assists faculty with formatting and reproduction of course material.
  • Utilizes MS Office or other office software to design, develop and produce required documents and records.
  • Participate in all department meetings.
  • Perform other duties as assigned by the EAM Department Chairperson.
