About The Position

The Program Aide/Assistant provides administrative support to the ARC Administrator and assists with various tasks related to beneficiary applications, file maintenance, and program operations. This role requires strong organizational skills, attention to detail, and the ability to maintain confidentiality. The position also involves serving as a role model for beneficiaries and ensuring adherence to safety and program policies.

Requirements

  • High school graduate or equivalent.
  • Able to operate basic office machines including computer, photocopier, time clock, and telephone.
  • Knowledge of Microsoft Office programs, MS Word, Excel, and Access with ability to learn additional software as appropriate.
  • Ability to spell correctly and edit correspondence for correct grammar and usage of the English language.
  • Ability to track on multiple tasks efficiently, completing each in a professional and timely fashion.
  • Professional judgment and integrity in holding in confidence all information pertaining to beneficiaries, beneficiary families, and co-workers.
  • Commitment to support and apply the philosophy and goals of The Salvation Army Adult Rehabilitation Center Program and the ARC Mission Statement.
  • No evidence of existing chemical dependency.

Responsibilities

  • Perform a variety of administrative tasks including typing, mailing, emailing correspondence, developing and maintaining lists, creating agendas and taking minutes for meetings, greeting visitors, answering telephone calls, and scheduling appointments.
  • Assist with processing new beneficiary applications, including checking databases, taking photos for badges, and administering drug tests.
  • Prepare and maintain all beneficiary files, ensuring security and updating the computer database.
  • Maintain Transitional Housing files and compile weekly reports.
  • Process discharge summaries and forward data to appropriate agencies.
  • Operate and maintain office equipment, preparing work orders and supply orders as needed.
  • Maintain organizational charts and various manuals.
  • Prepare and maintain lists for scheduled activities and personnel.
  • Assemble and prepare documents for Weekly Case Conference, including agendas and minutes.
  • Prepare required reports, including monthly center statistics.
  • Assist with program research projects.
  • Oversee front desk operations, scheduling of interns, and posting of daily classes and activities.
  • Serve as a role model for beneficiaries regarding behavior.
  • Ensure safety measures are established and maintained.
  • Maintain confidentiality of all information.
  • Oversee all aspects of beneficiary food stamp application and processing.
  • Prepare and serve on the Review team for Beneficiary Three and Five-month reviews.
  • Prepare certificates and awards for graduation ceremonies.
  • Perform other duties as assigned by the ARC Administrator.
  • Obtain written approval for any overtime.
