Job Description Purpose: Works under direction and performs highly complex work planning, directing, and coordinating services directly related to management or general business operations to include the exercise of discretion and independent judgement with respect to matters of significance.

Requirements

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Seven years of related experience.
  • Strong knowledge of administrative operations, office management, policies and procedures.
  • Excellent organization, time management, written communication and verbal communication skills.
  • Ability to manage multiple priorities, solve problems, analyze needs and recommend improvements in a fast-paced environment.
  • Proficiency with Microsoft Office and administrative systems.
  • Ability to exercise discretion, sound judgment and professionalism.
  • Ability to supervise staff, coordinate team activities and collaborate with academic, government, military and industry stakeholders.
  • Must have an active security clearance
  • Commitment to Department of War aligned initiatives, mission-focused programs and INSPIRE Alliance's long-term vision.
  • Ability to support meetings, events and administrative functions as needed in a dynamic, high-tempo environment.
  • Occasional travel may be required.

Nice To Haves

  • Bachelor's degree in business administration, communications or related field required or equivalent combination of education and experience.
  • Minimum of 3 years of administrative, coordination or office management experience.
  • Experience supporting executive leadership, federal or mission-driven, research, government, contract-driven or higher education environments preferred.
  • Texas A&M System experience preferred.
  • Demonstrated ability to manage projects, timelines and administrative processes.
  • military background preferred.

Responsibilities

  • Coordinate administrative functions, office workflows, procedures, records, supplies and resources.
  • Develop, maintain and improve administrative systems to support efficiency, compliance and organizational goals.
  • Prepare reports, summaries and materials that support leadership decisions and program execution.
  • Review, prepare and process documents for leadership, ensuring accuracy, completeness and compliance.
  • Support budget tracking, administrative resource planning, policy implementation and responses to administrative inquiries.
  • Coordinate documentation requirements across TEES, the Texas A&M System, industry partners and other stakeholders.
  • Monitor project timelines, identify operational needs and recommend process improvements.
  • Support Department of War contracting, proposal development and reporting through administrative coordination and document readiness.
  • Manage scheduling and communication with government, military, academic and industry stakeholders.
  • Coordinate travel, itineraries, meetings, seminars, workshops and event logistics for leadership and staff.
  • Assist with space and setup needs for INSPIRE Alliance meetings, events, workshops and related activities.
  • Attend meetings or committees as requested, providing summaries and follow-up actions.
  • Assist with logistics for secure or controlled environments, including SCIF coordination where appropriate.
