About The Position

OceanMD, a WELL Health Company, is a leading provider of EMR-integrated Patient Engagement and eReferral tools in Canada. Our digital healthcare solutions empower patients and physicians to overcome barriers to timely healthcare delivery. We replace paper forms with digital tools, enabling secure connections, health information sharing, and patient record updates. Our tools improve patient care by allowing patients to share health information before, during, and after visits. They also enhance the patient experience and clinic efficiency with online booking and secure messaging, and improve access to care by reducing referral processing times and displaying wait times.

Requirements

  • Proven experience in program coordination, project delivery, business analysis, client delivery, account support, or a related role.
  • Experience maintaining project plans, tracking actions and deliverables, documenting decisions, monitoring dependencies, and producing clear status updates.
  • Ability to investigate questions, bring together information from multiple sources, identify gaps and risks, and translate complex details into concise summaries and practical recommendations.
  • Clear and professional written and verbal communication skills, including in meetings, presentations, and stakeholder updates.
  • Ability to follow up with colleagues at different levels of the organization.
  • Ability to manage competing priorities, maintain accurate documentation, and meet deadlines.
  • Ability to ensure commitments do not get lost between teams.
  • Ability to build productive working relationships and seek input from subject-matter experts.
  • Proficiency with Microsoft Office (PowerPoint, Excel).
  • Experience with project management or collaboration tools.
  • Experience preparing PowerPoint presentations and maintaining Excel-based trackers.
  • Experience working with reporting data.

Nice To Haves

  • Experience in healthcare technology, government programs, or another complex stakeholder environment.
  • Experience with the Ocean Platform.
  • Exposure to digital health, provincial healthcare programs, government stakeholders, EMRs, HIS platforms, interoperability, or FHIR.

Responsibilities

  • Support program delivery by coordinating activities that support provincial program commitments, implementation plans, and client deliverables.
  • Maintain project plans, action logs, decision records, risks, issues, dependencies, and status reports. Follow up with owners to keep work moving and escalate concerns when needed.
  • Investigate questions, consolidate responses, and prepare clear recommendations or briefing materials by working across various OceanMD teams (Product, Integrations, Support, Education, Finance, Legal, etc.).
  • Organize meetings, prepare agendas and materials, capture decisions and next steps, and ensure stakeholders receive timely updates.
  • Help prepare client updates, program dashboards, presentations, meeting packages, and other materials used in internal and external governance forums.
  • Monitor emerging issues, gather relevant facts, assess potential impacts, and work with the Senior Program Account Manager and internal teams to identify next steps.
  • Help develop templates, workflows, documentation standards, and reporting practices to improve the consistency and efficiency of provincial program delivery.
