About The Position

The Professional Learning Operations Manager at Zearn is responsible for managing the daily operational engine that supports the seamless delivery of over 1,000 professional learning sessions to educators nationwide annually. This role ensures that each session is properly staffed, operational workflows run smoothly, and capacity constraints are proactively addressed. The Manager operates in a fast-paced environment, focusing on improving workflows, standardizing routines, and using data to recommend strategies for serving more educators while maintaining sustainable facilitator workloads. Key activities include managing the end-to-end facilitator assignment process, balancing scheduling complexities, handling operational changes, developing plans for deployments, and communicating staffing decisions. The role also involves tracking and analyzing data to anticipate constraints, forecasting risks, and maintaining visibility into operational capacity. Additionally, the Manager is responsible for improving operational processes, overseeing daily rhythms, serving as an escalation point for issues, implementing practical improvements, establishing standard operating procedures, and managing logistics for team events.

Requirements

  • 3-5+ years of experience in training operations, learning operations, professional services delivery, workforce scheduling, or a similar high-volume service-delivery environment.
  • Experience managing complex resource allocation, scheduling matrices, or staffing workflows across virtual and in-person delivery channels.
  • Experience directly administering scheduling, training, learning, CRM, or related operational systems.
  • Strong spreadsheet and data-management skills, including using data to identify exceptions and operational risks.
  • Experience improving manual workflows through automation, system configuration, scripts, AI tools, or other practical technology solutions.
  • BA/BS or equivalent professional experience.
  • General working availability aligned with Eastern Time, including early-morning hours to support before-school educator needs.

Responsibilities

  • Own the daily execution of systems and processes for professional learning sessions from booking through delivery.
  • Manage the end-to-end facilitator assignment workflow for virtual and onsite engagements, matching expertise to needs.
  • Balance complex scheduling trade-offs (impact, logistics, sustainability, cost) for equitable staffing.
  • Manage operational changes like reschedules, cancellations, and session detail modifications.
  • Develop operational plans for multi-session deployments, customized partnerships, and peak delivery windows.
  • Proactively communicate staffing decisions, schedule adjustments, and operational expectations.
  • Track and analyze booking patterns, delivery pipeline, and facilitator utilization to monitor capacity.
  • Identify high-demand periods and potential constraints, forecasting risks.
  • Formulate proactive capacity and staffing recommendations to the Director.
  • Maintain clear visibility of training availability for stakeholders.
  • Provide historical analysis to inform staffing and delivery planning.
  • Oversee daily and weekly operational rhythms across systems, tools, and workflows.
  • Serve as the primary escalation point for urgent operational issues.
  • Identify recurring operational friction and implement improvements (workflow simplification, automation, reporting).
  • Establish and refine standard operating procedures and controls.
  • Manage operational logistics for periodic internal Professional Learning team events.
